Shop Administrator 2nd Shift

Summary

The Shop Administrator manages the purchase order process, fleet and office supply, work order process and review, and DOT asset records processes. The Shop Administrator will report directly to the Fleet Maintenance Manager and Fleet Maintenance Supervisor.

Job Description

  • Generate external repair purchase orders in Fleetio to support maintenance operations.
  • Execute month end close processes by ensuring all mechanic work orders are entered and all open purchase orders are reconciled and closed.
  • Audit parts charge outs against corresponding work orders to ensure accuracy and proper cost allocation.
  • Receive and verify parts deliveries to maintain accurate inventory and workflow continuity.
  • Reconcile Workday labor hours with work orders and develop labor efficiency reports for the Fleet Manager.
  • Produce daily and weekly reports on mechanic hours and overtime for both the Fleet Manager and General Manager.
  • Maintain complete and compliant truck files, including DMV registrations, preventive maintenance schedules, and work order documentation.
  • Support the Fleet Manager with research and documentation for approval requests, including large dollar repairs for fleet and facility needs.
  • Communicate with upper management to provide updates, supporting data, and clarification on approval requests.
  • Perform additional duties as assigned to support department operations.
  • Provide administrative support to Operations as needed to ensure cross-functional efficiency.

Required Qualifications:

  • High School Diploma or G.E.D. 
  • 2-3 years’ experience in maintenance environment. 
  • Experience with parts and inventory. 
  • General accounting knowledge. 
  • Excellent organizational skills. 
  • Proficiency in MS Office, especially Excel. 
  • Great customer service attitude, communication skills and the ability to work with a variety of people. 
  • Ability to perform physical requirements of the position with or without reasonable accommodations. 

Preferred Qualifications:

  • Bilingual (English & Spanish). 
  • Operations/Warehouse/Waste Management experience.

    • Exposure to grease, oil, chemicals, & wet conditions occasionally.
    • Works inside only. Position considered office only.

Hours:

Monday - Friday

Saturday as needed

1 pm - 9:30 pm

Salary: $22.30 - $26.55 per hour
