Job Description:

The Service Specialist works closely with the offices of the Registrar, Bursar, and Financial Aid to provide exemplary customer service to students, their families, and faculty and staff of the College. Provides courteous service to all customers of Rhodes Express through services focused in the areas of finance and academic information. Ensures accurate resolutions to customer concerns and inquiries either personally or through intervention of a specialist. Facilitates customers’ connection to other areas for services needed outside of Rhodes Express.

Job Requirements:

  • High school degree required; college degree preferred.
  • Ability to be bonded; Notary preferred.
  • Must have minimum of one (1) year demonstrated quality customer service, cash handling experience, or experience with basic accounting processes.
  • Must have exceptional communication and interpersonal skills and ability to serve a wide range of people including students, families, faculty and staff.
  • Must possess strong organizational skills, attention to detail and ability to prioritize and manage multiple tasks.
  • Proficiency in Microsoft Office required.
  • Experience with Workday highly preferred.

Job Responsibilities:

  • Offer front-line assistance to the office of the Registrar:
    • Responsible for transcript and enrollment verification production.
    • Answer student questions regarding policy and procedures as they pertain to the college catalogue and academic calendar.
    • Assist with Attendance Confirmation process.
  • Offer front-line assistance to the office of Financial Aid:
    • Assist with inquiries regarding financial aid and billing questions for Rhodes parents, students, and authorized payers.
    • Support Financial Aid in the Federal Work Study and RSAP student employment onboarding process. Initiates all new hire paperwork for student workers by hiring them as employees in Workday. Collects all student employee I-9 documents and completes the E-Verify process in Workday and at the government website. Inform supervisors when new hires are eligible to begin work. Follows up with supervisors, students, and Financial Aid when paperwork isn’t completed in a timely manner. Requires E-Verify training.
       
  • Offer front-line assistance to the office of the Bursar:
    • Assist the Bursar in preparing and sending billing statements, managing meal plan requests, and processing tuition payments.
    • Perform ledger maintenance, providing accounting reports and assessment, and verifying the accuracy of daily data collection and input processes.
    • Balance cash drawers daily and balances vault in coordination with other team members.
       
  • Support additional student services as appropriate:
    • Support Human Resources and Payroll in their student employment onboarding process. Initiate all new hire paperwork for student workers by hiring them as employees in Workday. Collect all student employee I-9 documents and complete the E-Verify process in Workday and at the government website. Inform supervisors when new hires are eligible to begin work. Follow up with supervisors, Payroll, Financial Aid, and Human Resources as appropriate (requires E-Verify training).
    • Perform transactions for, but not limited to, the Division of Student Life, International Programs, Finance, Student Organizations, Campus Safety and Data Services by collecting and disbursing various forms, documents, keys, and financial payments.
    • Make ID cards for all new students and employees and print replacements for lost cards.
    • In coordination with other Rhodes Express staff, answer the main college switchboard between 8:30-5:00 on weekdays.
       
  • Enter data from all forms submitted to Rhodes Express.
  • Provide accurate and timely responses to emails regarding academics or registrar processes through the TopDesk ticket system.

Physical Demands:

  • General office environment. Requires sitting for extended periods of time, reaching, visual acumen and manual dexterity for working with computer keyboards.
  • Exerting up to 10 pounds of force occasionally and/or a negligible amount of force constantly to move objects.
  • Close visual acuity to review both print and electronic documents.
  • Frequent typing using the keyboard.
