[What the role is]

The Assistant Project Coordinator will provide day-to-day coordination and administrative support for the STEP 2.0 project, ensuring effective tracking of tasks, schedules, meetings, documentation, and stakeholder communications. This role plays a key part in ensuring smooth project operations by assisting in requirements gathering, documentation, stakeholder coordination, and project tracking to support timely and successful delivery.

[What you will be working on]

Job Summary
The Senior/Lead Executive (Assistant Project Coordinator) will provide crucial administrative and project coordination support to the Centre for Industry & Lifelong Learning, ensuring the smooth execution of lifelong learning initiatives and industry partnerships. This role involves managing project timelines, resources, and communication to achieve strategic objectives.

Job Responsibilities

* Assist the Project Implementation Team Lead in coordinating project activities, timelines, and deliverables.

* Track project progress and follow up on action items to ensure timely completion.

* Support the preparation of project reports, status updates, and presentations.

* Coordinate project schedules, resources, and deliverables, ensuring adherence to established timelines and budgets.
* Serve as a primary point of contact for internal and external stakeholders, facilitating effective communication and information flow.
* Prepare and manage project documentation, including reports, presentations, meeting minutes, and project plans.
* Assist in coordinating system testing, issue tracking, and resolution.

* Provide general administrative support for the project, including maintaining documentation and records.

[What we are looking for]

Job Qualifications
* Qualifcations in Information Technology, Project Management, Business, or a related field.
* Proven relevant experience in project coordination or administrative support, preferably within an educational institution or training environment.
* Strong organisational and time management skills, with the ability to manage multiple tasks concurrently and meet deadlines.
* Good written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software is a plus.
* Demonstrated ability to work independently and as part of a team, with a proactive and problem-solving attitude.
