The Senior Specialist, Office Services is responsible for end‑to‑end lease administration and vendor payment operations: interpret and manage lease agreements, drive compliant onboarding in Ivalua, ensure timely/accurate invoicing and payments, track renewals/terminations in TM Tracker, and support favorable negotiations while identifying and mitigating risks.

Position Responsibilities:

  • Review lease agreements to understand all terms, conditions, and obligation
  • Identify key elements such as lease duration, renewal options, payment terms, maintenance responsibilities, and termination clauses
  • Ensure and verify the term and lease agreements comply with legal and financial capabilities
  • Assist in negotiating lease terms to secure favorable conditions for the company
  • Identify potential risks associated with agreements
  • Use a TM Tracker tool to provide timely notifications for renewals or terminations
  • Ensure to register a new onboard vendor within our condition and complaint via Ivalua system
  • Ensure/verify all invoices are approved by appropriate department are accurate and match the terms agreed
  • Schedule payments to landlords or service providers according to agreed payment terms
  • Communicate with vendors regarding payment status and address any payment related issues promptly

Required Qualifications:

  • Degree in Business, Finance, Real Estate, Supply Chain, or related discipline (or equivalent experience).
  • 2–4 years in lease administration, contracts management, AP operations, or procurement/vendor management.
  • Proficiency in MS Excel and document management.

Preferred Qualifications:

  • Detail orientation & compliance mindset—error‑free interpretation and data entry.
  • Commercial acumen—ability to spot unfavorable terms and propose alternatives.
  • Stakeholder management—cross‑functional coordination (Legal, Finance, FP&A, Facilities, AP).
  • Vendor communication—clear, courteous, and solutions‑oriented.
  • Prioritization & time management—managing multiple renewals and payment cycles.
  • Analytical skills—reconciliation, variance/root‑cause analysis.
