The Senior RFP Database Administrator is responsible for providing support to global sales and RFP teams. The role is primarily responsible for content management of knowledge bank used for completion of Due Diligence Questionnaire (DDQ) and Request for Proposal (RFP).

The Database Administrator is also responsible for formulating and communicating content strategy, roadmaps and distribution of relevant materials to respective stakeholders. The role will collaborate with subject matter experts and other stakeholders to ensure that the RFP database, Loopio, is up to date, accurate and visually appealing.

The Key Responsibilities of the Role Include

  • Collaborate with subject matter experts, Sales teams, and the Global RFP team in updating, maintaining, and producing timely and insightful content for the Northern Trust RFP database, Loopio
  • Synthesize complex and/or technical information from subject matter experts into engaging and accessible written content
  • Ensures that content, exhibits, and diagrams adhere to Northern Trust’s branding guidelines
  • Identifies new and amended content for inclusion within the RFP database, whilst also being mindful of the need to remove expired content
  • Acts as a gatekeeper for new content requests
  • Provide answers from the RFP database and Subject Matter Experts to the RFP teams and Relationship Managers who respond to questionnaires from clients, client prospects, or consultants regarding the products or services
  • Interacts on an ongoing basis with partners in finance, HR or product areas to obtain business statistics and updates tracking spreadsheets on a regular (monthly/quarterly/annual) basis
  • Must be knowledgeable of the company’s products and services and keep abreast of industry events that may affect the company or our clients
  • Oversees the development of DDQs, providing input or completing the more technical or complex aspects of the questionnaires
  • Ensures that processes are well documented and controls are put in place to mitigate risks
  • Maintain Detailed Procedural Analysis Documents (DPADs) as needed and ensure that any change in the process is updated in the DPAD in a timely manner
  • Meet all the SLAs set by the business for the process in terms of timeliness and accuracy
  • Participate in Root Cause Analysis (RCA) to address issues identified by the team and prevent the recurrence of identified issues
  • Proactively report any issues to the Team Leader or Manager
  • Respond flexibly to the needs of the current situation, amend own work program to deliver client requirements
  • Provide support to management in the implementation of strategic initiatives and achievement of business goals
  • Identifies opportunities for process or operational efficiencies to boost productivity
  • Encourage team members to consistently think of ways to mitigate risk in the course of operations
  • Actively drive and deliver productivity and efficiency initiatives implemented by the team
  • Deliver on opportunities to reduce cost and FTE savings to meet the yearly productivity targets
  • Partners are required to comply with the regulatory regime in which Northern Trust operates as appropriate to the above role
  • Partners are expected to exercise due care and diligence, ensuring the areas the incumbent is responsible for are organized and controlled
  • Partners are required to observe proper standards of the market, business, and personal conduct, demonstrating integrity in the execution of duties
     

Skills/Qualifications

The successful candidate would benefit from having:

  • 5-7 years of experience in the field of financial services, content management, project management, writing, communication or related work experience
  • 3-4 years of experience in a senior or specialist role
  • 2-3 years of experience with an RFP or bidding software, particularly Loopio, is an advantage
  • In-depth understanding of artificial intelligence (AI) tools such as Copilot, to enhance content management and process automation
  • Excellent oral and written (both US and UK language) communication skills
  • Advanced knowledge of Microsoft Office applications and ability to learn new tools for related functions (SharePoint, etc.)
  • Knowledge of basic financial concepts usually obtained through related work experience or formal education is required to drive content development and assist with RFPs and DDQs
  • Knowledge in content management or database administration
  • Analytical, Strategic, and Creative Team Player: Demonstrates strong analytical and project management abilities, communicates and collaborates effectively, adapts to change, thinks creatively and strategically, prioritizes client satisfaction, and maintains business awareness—all while driving process improvements and building positive relationships.
  • Proficiency in large data analytics a plus
  • Strategic planning and design of deliverables including content concepts, taxonomy, content briefs, content matrix, and content roadmap
  • Content marketing skills to help shape branding through content that is targeted, findable and shareable
