Position Summary
The Sr. Representative, Facilities is responsible for ensuring the safety, functionality, and efficiency of the workplace environment. This role encompasses hands-on maintenance, coordination with vendors and trades, security oversight, and administrative support. The position requires a proactive approach to facilities operations, preventative maintenance, and compliance with safety and security standards. The role also serves as a key liaison with the Site Director and site leadership, supporting operational goals and ensuring alignment with business priorities. WHAT YOU WILL DO IN THIS ROLE
As a Senior Representative Facilities, you will:
- Facilities Operations (50%)
- Perform hands-on maintenance, repairs, and alterations to building infrastructure, grounds, and equipment.
- Plan and execute preventative maintenance schedules for all critical infrastructure including HVAC, emergency generators, UPS systems, fire safety systems, plumbing, and electrical systems.
- Identify and escalate equipment or systems requiring repair, replacement, or upgrade.
- Coordinate with external vendors and skilled trades for specialized repairs and inspections.
- Conduct daily walkthroughs to identify safety hazards, leaks, or operational issues.
- Assemble and install office furnishings, whiteboards, shelving, and wall fixtures.
- Paint and repair drywall, cabinets, doors, and woodwork.
- Move, repair, and replace office furniture and equipment.
- Maintain and repair plumbing fixtures including sinks, toilets, urinals, and drains.
- Spread salt and shovel snow from walkways and entrances during inclement weather.
- Support space planning and reconfigurations in collaboration with operations.
- Assist with janitorial functions as needed.
- Participate in Joint Health & Safety Committee activities.
- Develop and support energy-saving initiatives and sustainability programs.
- Respond to all critical equipment alarms during and after business hours.
- Security Operations (20%)
- Monitor and maintain security systems including CCTV, access control, magnetic locks, and card readers.
- Create, activate, and deactivate employee, visitor, and contractor badges.
- Respond to and investigate security alarms and incidents during and after business hours.
- Escort visitors and contractors within the facility.
- Conduct monthly audits of badge access and reconcile with HR active lists.
- Perform monthly inspections of fire safety equipment and maintain logs.
- Generate attendance and access reports for management.
- Assist reception with badge audits and visitor management processes.
- Ensure compliance with Concentrix Physical Security Policies and support internal/external audits (SOC I, SOC II, PCI, etc.).
- Administrative Support (30%)
- Complete weekly site checklists and security reports.
- Track and document site expenses, procure quotes, and input requisitions.
- Process invoices and monitor payment status.
- Maintain building asset and equipment inventory lists.
- Prepare basic reports using PowerPoint and Excel.
- Collect and analyze data for facilities-related metrics and audits.
- Communicate effectively via Outlook and other internal systems.
- Leadership & Collaboration
- Work closely with the Site Director and site leadership team to support operational initiatives, space planning, and employee experience.
- Provide regular updates on facilities performance, issues, and improvement opportunities.
- Collaborate with cross-functional teams including IT, HR, and Operations to ensure seamless site support.
YOUR QUALIFICATIONS

- Education & Knowledge
- High School Diploma or equivalent required.
- Strong knowledge of building maintenance procedures, safety principles, and trade practices.
- Familiarity with fire safety systems, emergency power systems, and HVAC operations.
- Basic computer proficiency including data entry, record keeping, and Microsoft Office tools.
- Knowledge or experience with Building Management Systems (BMS) is a plus.
- Experience & Skills
- Minimum 5 years of experience in building maintenance or facilities operations.
- Demonstrated mechanical aptitude and ability to perform semi-skilled trade work.
- Ability to read blueprints, schematics, and construction drawings.
- Strong organizational and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Valid driver’s license and access to a motor vehicle.
- Must reside in the United States and have a valid U.S. address for residence

- The base salary range for this position is $24.00 to $26.00/HR, pay rate will not be below the applicable minimum wage), plus incentives that align with individual and company performance. Actual salaries will vary based on work location, qualifications, skills, education, experience, and competencies.
