This role sits at the heart of the Global Quality Assurance (GQA) organization, providing trusted, high‑impact support to the Senior Vice President and GQA Directors. Far more than traditional administrative work, this position enables senior leaders to focus on what matters most—patient safety, regulatory excellence, and strategic decision‑making—by ensuring flawless coordination, organization, and follow‑through.
As the operational anchor of GQA, you will be a trusted partner with high visibility, discretion, and influence—managing executive priorities, global meetings, major events, systems, and reporting. Your work will directly support an international quality organization and contribute to a culture of excellence, compliance, and continuous improvement. Your day at Ferring
General secretarial duties to the GQA department with main focus on the Senior Vice President and Directors of the GQA department, such as correspondence, scheduling appointments, email and mail processing, presentations with full discretion, dedication and loyalty.
Planning of travel activities for SVP and Senior Directors GQA including organization of meetings in connection with booking of travel, hotel, car rental.
Processing expense report forms for SVP and Senior Directors GQA FICSA.
Organize internal and external meetings and conferences for the Senior Directors in GQA, organize venues and lead the administration of Annual meeting (120 people)
Administration of invoices, purchase orders and contracts.
Organize the GQA management meetings: plan, organize, participate in and follow-up on the actions from the monthly GQA management meetings, including agenda, action point list.
Administer LMS-Cornerstone, update curriculum with latest versions of CSOPs, always make sure new employees receive the training, keep the matrix up to date with new CSOPs that are relevant to the GQA team members
Administer SharePoint and Teams pages, maintain GQA pages updated with relevant information, documents and links.
Prepare and send Executive Monthly Report to the Ferring Executive team.
Responsible as Super User in Coupa and Concur and participate in the different systems changes and refreshments, to better support employees.
Behind our innovation…There’s you
5-10 years of experience in a comparable position
College degree or above
Fluent in English, fluency in other languages an asset
Good communication and interpersonal skills
Able to act as Project Manager and team player
Ability to show full discretion, trustworthy, dedication, loyalty and flexibility
Must be a strong believer in service and support to superior and his/her team(s)
