AIC Phil LLCThe Senior Payroll Specialist will undertake all elements of payroll; from inputting data, processing, annualization, tax calculation, Alphalist preparation, and payroll reconciliation. The Senior Payroll Specialist will have extensive knowledge of payroll processes, taxation, statutory reporting, and compliance, and will assist with providing payroll-related advice, guidance, and support to all employees and managers. The Senior Payroll Specialist will work with HR Management on payroll-related project work and, where applicable, oversee the Payroll Team.

The Senior Payroll Specialist will undertake all elements of payroll; from inputting data, processing, and payroll reconciliation. The Senior Payroll Specialist have an extensive knowledge of payroll processes and procedures and will assist with providing payroll related advice, guidance and support to all employees and managers.

WHAT YOU WILL DO

Your accountabilities could include:

• Establish and maintain processes that ensure all components of payroll, including earnings, deductions, benefits, annualized income, and statutory contributions, are accurately accounted for.

• Acts as a subject matter expert and/or resource to others in the area of payroll processing, taxation, Alphalist, and statutory compliance.

• Reviews, analyzes, and verifies payroll reports and documents for accuracy, including tax calculations, annualization adjustments, Alphalist data, and statutory deductions; makes necessary corrections through payroll entries or other established procedures.

• Performs and validates annualization of compensation, including adjustments related to bonuses, allowances, variable pay, off-cycle payments, and final pay, ensuring correct tax treatment.

• Prepares, validates, and submits BIR Alphalist reports (e.g., employees, income payments, and withholding taxes) in compliance with government requirements and deadlines.

• Ensures accurate calculation, withholding, and remittance of income tax and government-mandated contributions, in compliance with local laws and regulations.

• Researches, analyzes, and responds to complex payroll and tax matters requiring comprehensive knowledge of payroll policies, BIR regulations, and procedures; authorizes exceptions within defined limits.

• Recommends or participates in the development of new procedures and policies related to payroll operations, taxation, and compliance; assists in coordinating approved changes within payroll systems and updates related documentation.

• Acts as liaison with employees and management by answering payroll, tax, Alphalist, and annualization-related questions, providing alternatives, and facilitating informed decision-making.

• Conducts training sessions for new hires, including cascading local payroll laws, tax regulations, Alphalist requirements, policies, and best practices as mandated by government agencies.

• Maintains withholding orders and manages accurate and timely remittances.

• Produces payroll and tax remittances for government agencies.

• Coordinates payroll year-end processes, including tax reconciliation, Alphalist preparation and submission, and statutory filings.

• Processes terminations, including reconciliation of time-off balances, final pay annualization, tax clearance where applicable, and issuance of all required government or legislative forms and reports.

ABOUT YOU

• You have a minimum of 2 years’ experience in payroll specialist role.
• You have a 3 or more years’ experience in a payroll position with supervisory experience.
• You demonstrate teamwork, open communication and the ability to give and receive constructive feedback.
• You demonstrate job knowledge through understanding of the fundamental skills and procedures.
• You are never satisfied and demonstrate a winning attitude striving for success and productivity
• You take initiative to share or apply best practices in order to improve personal performance and customer experience.
• You are fun and energetic and are engaged at all levels
