Job Summary 

We are seeking an experienced and highly organized Senior Outsourcing Producer to join the External Development (EXDEV) team at Hangar 13. In this role, you will be the operational backbone of our external partnerships, driving the successful delivery of assets and features for our upcoming AAA titles. You will bridge the gap between internal Hangar 13 leads and our global vendor network, ensuring that technical onboarding, financial tracking, and communication pipelines are seamless. You are not just a task-tracker; you are a workflow optimizer who ensures our external partners are empowered to deliver at the highest quality, on time, and within scope.

 

Duties and Responsibilities  

  • External Pipeline Management: Identify bottlenecks in the internal-to-external pipeline and propose process improvements to reduce feedback turnaround times and increase throughput.
  • Operational Onboarding & Logistics: Own the end-to-end technical onboarding and hardware logistics, ensuring external teams have the tools required to succeed from day one.
  • Financial & Contractual Stewardship: Assist in drafting SOWs and Change Orders in coordination with the legal department. Perform first-pass invoice verification against approved milestones and maintain real-time internal spending trackers.
  • Resource & Capacity Planning: Maintain a comprehensive map of vendor staffing levels and availability to assist Directors in long-term strategic resource planning.
  • Task & Milestone Oversight: Lead the daily maintenance of the EXDEV tracking tools. Triage tickets, ensure data integrity, and proactively follow up on delayed tasks to maintain project momentum.
  • Communication & Sync Leadership: Act as the primary coordinator between external vendors and internal Hangar 13 discipline leads (Art, Animation, Design, Engineering). Lead status meetings and ensure feedback loops are closed within agreed windows.
  • Reporting & Governance: Prepare regular progress reports for stakeholders, highlighting milestone completion percentages and potential risks. Document all external syncs to ensure action items are tracked to resolution.
  • Continuous Improvement: Organize and lead vendor retrospectives after major milestones to capture lessons learned and strengthen long-term partnerships.

 

Essential Skills, Attributes and Experience

  • Project Management Mastery: Familiarity with systems like JIRA and Confluence, ability to build and maintain tracking dashboards.
  • Attention to Detail: Critical due to financial impact such as managing vendor budgets, verifying invoices, and administrative side of Statements of Work (SOW).

 

  • Communication Excellence: Exceptional verbal and written communication skills with a "how can I help" attitude and the ability to mediate between internal leads and external partners.
  • Strategic Thinking: Demonstrated ability to create, iterate, and track processes that balance time, cost, and quality.

 

Highly Desirable 

  • Logistical Expertise: Extensive experience managing technical access to enterprise systems such as (Perforce, Shotgrid/Flow) and equipment logistics for large-scale external teams.
  • Technical Familiarity: Basic knowledge of video game engines and DCC software (3ds Max, Maya, Blender) to understand the technical requirements of the assets being outsourced.
