We are seeking a highly organized and results-driven Sr. Operations Manager to oversee and optimize the daily operations within our automotive title department. The ideal candidate will have a strong background in operations management, preferably within the automotive title industry, and a proven ability to lead teams, streamline processes, and ensure compliance with industry regulations. This role requires a proactive leader with excellent problem-solving skills and a commitment to delivering high-quality service to our clients.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Operational Oversight:

  • Manage day-to-day operations of the automotive title department, including processing, verifying, and filing of titles and related documents.
  • Develop and implement efficient workflows to ensure timely and accurate title processing and compliance with state and federal regulations.
  • Monitor key performance indicators (KPIs) and operational metrics to identify areas for improvement and implement corrective actions as needed.

Team Leadership:

  • Lead, mentor, and develop a team of title processors, ensuring they are well-trained, motivated, and equipped to meet departmental goals.
  • Conduct regular performance evaluations and provide feedback and coaching to enhance individual and team performance.
  • Foster a collaborative and positive work environment that encourages innovation and continuous improvement.

Process Improvement:

  • Identify opportunities to streamline operations, reduce costs, and improve service delivery.
  • Implement best practices and leverage technology to enhance operational efficiency and accuracy.
  • Work closely with IT and other departments to automate processes and integrate new systems as needed.

Compliance and Quality Assurance:

  • Working with the Compliance Officer, ensure all operations comply with state and federal regulations, industry standards, and company policies.
  • Oversee quality control measures to ensure the accuracy and completeness of title documents.
  • Stay current with changes in laws and regulations affecting the automotive title industry and adjust operations accordingly.

Client and Vendor Relations:

  • Working with the Account Manager, address any concerns or issues related to title processing operations.
  • Maintain strong relationships with vendors, including DMV offices, couriers, and other third-party service providers.
  • Negotiate contracts and service agreements with vendors to ensure the best possible terms.

Budget and Resource Management:

  • Develop and manage the departmental budget, ensuring efficient use of resources and adherence to financial goals.
  • Forecast staffing needs and coordinate with HR to recruit and onboard new team members as necessary.
  • Monitor and control departmental expenditures to stay within budget.

Reporting and Communication:

  • Prepare and present regular reports on operational performance, including productivity, turnaround times, and compliance.
  • Communicate operational updates and strategic initiatives to senior management and other stakeholders.
  • Ensure clear and effective communication within the department and across other teams.

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION & EXPERIENCE) 

  • Bachelor’s degree in business administration, Operations Management, or a related field, or equivalent experience.
  • 5+ years of experience in operations management.  Experience in the automotive title industry is a plus.
  • Strong knowledge of state and federal regulations related to automotive titles.
  • Proven leadership skills with experience managing a large hourly workforce and developing strong, high-performing teams.
  • Excellent problem-solving abilities and a track record of process improvement.
  • Proficiency in using operations management software and tools; experience with title management systems is a plus.
  • Exceptional communication, negotiation, and interpersonal skills.
  • Ability to work in a fast-paced environment and manage multiple priorities simultaneously.
