Senior Manager of Business & Strategic Operations, Global Clinical Operations Region EMEA

General Description:

  • Support internal operations under the leadership of the Head of Business & Strategic Operations, Region EMEA
  • Primary focus is to drive timely and effective tracking and reporting of workforce and resource activities that enable timely, high-quality decision-making in Clinical Operations.
  • Builds strong cross-functional relationships and fosters alignment on priorities.
  • Delivers clear, concise, and impactful communications tailored to diverse audiences.
  • May support additional activities within the scope of Business & Strategic operations such as finance management, metrics development and review, oversight of organizational health, FSP management, governance and communication etc.  
  • Ability to project manage key projects or initiatives within Clinical Operations Europe or represent the EMEA Clinical Operations team in global/cross functional projects
  • Ability to potentially support with innovation and AI solutions implementation

Essential Functions of the Job:

Main areas of support may involve any of the following depending on the business needs.

Workforce & Resource Management (Primary Focus)

  • Support workforce / resource management activities, including headcount planning, workload tracking, and capacity forecasting. Liaison with key stakeholders to ensure alignment, risk management and appropriate resource deployment across countries in the region.
  • Collaboration closely with core leadership team, line managers, HRBP, HR TA and FSP partners to ensure timely and accurate tracking and reporting of workforce data.
  • Support with workforce validation exercises, deep dive exercised, data analysis, hiring metrics, retention metrics and be responsible to ensure regular updates of powerBI or any other reporting tool
  • Support FSP governance and vendor management activities, including support with invoice management, sourcing or FSP management, FSP related initiatives etc
  • May support tracking of department goals, KPI monitoring, risk management and areas of opportunities to further enhance performance management and productivity.
  • Champion implementation of RAINBOW (Resourcing Tool) or any other tool implemented for resource tracking and reporting.  
  • Support a productivity mindset through identification of areas for improvement and new ways of working. May support some productivity reporting activities or initiatives.
  • May represent the EMEA Clinical Operations team in global/cross functional projects or initiatives

Business & Operational Support & Continuous Improvement

May support additional activities within the scope of Business & Strategic Operations function.

Activities may include:

  • Support the development, monitoring, and forecasting of Clinical Operations budgets, in close collaboration with finance partners. May support with reporting of ROI, where applicable.
  • Facilitate monitoring of organizational health, develop and maintain operational dashboards, KPIs, and metrics to measure departmental performance against goals. May support with set up and tracking of department goals, KPI monitoring, risk management and areas of opportunities to further enhance performance management and productivity.
  • Assist in goal-setting and progress tracking, ensuring alignment with corporate and R&D objectives.
  • May support with governance and communication activities (as needed)
  • Identify opportunities to enhance governance processes, communication workflows, and operational efficiency.
  • Support adoption of best practices and tools to streamline reporting, meeting management, and information sharing.
  • Champion a culture of collaboration, accountability, and operational excellence within Clinical Operations.
  • Support a productivity mindset through identification of areas for improvement and new ways of working. May lead some productivity reporting activities or initiatives.

Education Required:

  • Bachelor’s degree in a scientific or healthcare discipline required, Higher Degree preferred

Computer Skills:   

  • Proficient in MS Office (PowerPoint, Excel, Word) and knowledge of communication and project management tools.
  • Smartsheet, Co-pilot, sharepoint, Beep page, Canva and other AI tools utilization, are considered an additional asset.
  • Familiar with portfolio or resource management tools, will be highly regarded.

Other Qualifications:  

  • Minimum of 7 years of progressive experience in clinical operations, in pharmaceutical industry, biotech or CRO. Proven project management skills are required, with at least 3 years in clinical operations and/or business operations roles.
  • Previous experience as line manager and involved in resourcing will be preferred.  
  • Experience with budget management, vendor/FSP oversight, process improvement and performance metrics, communication, governance – considered an additional asset.
  • Strong understanding of clinical development processes, ICH-GCP, and cross-functional R&D operations.
  • Excellent organizational, facilitation, and written/verbal communication skills.
  • High attention to detail and ability to reconcile information effectively and efficiently.
  • Strong analytical skills and ability to translate data into actionable insights.
  • Ability to work independently, be reliable, prioritize effectively, and deliver results under tight deadlines.
  • Solid experience with operational management, strong problem-solving skills.
  • Ability to build trustworthy and effective relationships with collaborators.
  • Agility and ability to adapt and navigate with ambiguity as needed, willing to accept new responsibilities as needed as role and team evolves

Travel: Limited travel may be required
