Job Description:

General Description:

The Senior Manager of Clinical Site Payments for the Australia, New Zealand, and Southeast Asia regions will serve as a Subject Matter Expert (SME) and leader in clinical site payments. This role demands deep expertise in clinical operations and the management of studies throughout the startup, enrollment, and closeout phases. As both a people leader and technical specialist, the Senior Manager will spearhead the optimization of clinical site payments across the region.

A key focus of this position is to build effective partnerships with the Site Contracts Team, Global Clinical Operations, Treasury, Accounts Payable, Risk Management, Quality, Internal Audit, and Finance. The Senior Manager will lead the payments team, emphasizing collaboration and accountability among the clinical site payments team, associated vendors, and cross-functional partners.

Critical thinking and professional judgment are essential, especially in scenarios that affect the integrity and performance of our clinical trials. The Senior Manager is expected to challenge the status quo, identify errors, and promote transparency diplomatically while ensuring accountability across all involved teams.

This role is vital in supporting leadership by establishing robust frameworks for site payment optimization. Effective collaboration and communication across borders are essential for executing deliverables successfully. The Senior Manager will remain actively engaged through recorded meetings and minutes, particularly when direct attendance isn't feasible. Strategic thinking and resilience are required to provide actionable recommendations that drive process improvements and enhance operational efficiency through innovative solutions.

Essential Functions:

  • Lead the payments team for Australia, New Zealand, and Southeast Asia, overseeing site payments management.
  • Provide innovative recommendations to optimize workflows and processes.
  • Identify process gaps and propose risk mitigation strategies.
  • Act as a change agent to challenge traditional approaches that no longer meet business needs.
  • Hold CROs and payment vendors accountable for project deliverables, ensuring diligent payment administration management.
  • Develop a framework for site payment optimization.
  • Review and provide feedback on payment terms.
  • Collaborate with the Site Contracts team and Legal on contractual language impacting site payments.
  • Serve as the point of contact for escalations related to site payment issues.
  • Act as an SME for global site payments management.
  • Conduct risk assessments and implement strategies to address gaps affecting trial integrity.
  • Drive performance within the payments team to ensure compliance and timely task completion.
  • Guide regional clinical payments managers on country regulations and payment processes.
  • Collaborate with leadership to enhance dashboards and performance metrics using tools like Smartsheet and PowerBI.
  • Work with regional payments managers to implement training for investigator site payments for team members and global clinical study teams.
  • Assess knowledge and quality gaps within the payments team and recommend training plans.
  • Develop and manage workflow and process standards to ensure compliance with regulatory and company requirements.
  • Participate in establishing departmental and cross-functional policies and procedures.
  • Provide site payment documentation for sponsor audits as needed.
  • Understand and adhere to project-specific and company policies.
  • Generate investigative site payment reports for project team review as applicable.
  • Liaise with GCO staff and site payment vendors on payment issues.
  • Assist in the development and testing of systems and standard processes.
  • Troubleshoot payment issues promptly.
  • Identify and implement process improvements.
  • Perform other duties as assigned by management

Qualification Required:

Education Required:

Bachelor’s degree from an Accredited College, and at least 7+ years’ experience in finance, biotech, pharmaceuticals, or a related field in the biotech/pharmaceutical industry

  • Sound understanding of regulatory implications of contracts tied to clinical research.
  • Customer-oriented with the capability to engage professionally across all organizational levels.
  • Demonstrated competency in vendor management within a matrix environment.
  • Solid understanding of Clinical Trial Management Systems (CTMS).
  • Proficiency in leveraging technology and adapting to modern tools.
  • Capacity to develop cross-functional relationships that enhance best practice sharing and team effectiveness.
  • Self-motivated, capable of working under pressure to meet deadlines, both independently and as part of a team.
  • Detail-oriented with a proactive mindset to influence positive change within teams.
  • Positive attitude and strong leadership qualities.

Computer Skills:   

  • Advanced knowledge Microsoft Office - Word, Excel, Power Point and MS Outlook; Smartsheet, SharePoint, MS Teams, MS Project

Other Qualifications:    

  • Fluent in written and verbal English.
  • Strong interpersonal skills, leadership, negotiation, analytical and problem-solving skills
  • Must be highly multi-tasked and meet compressed timelines.
  • Prior experience in clinical operations, finance, or grant payment position.
  • People management and leadership.
