Senior Logistics Specialist

POSITION PURPOSE

Main mission of the role is to investigate and plan the Company’s shipments, taking into account all specification of it. Serves as the first point of contact with transportation companies and is responsible for negotiating contracts, transportation and handling costs. Responsible for communicating with internal and external stakeholders to secure transport, customs, warehouse services according to defined requirements. Record and report activities according to internal processes.
Aligns Company’s objectives with key KPIs and sets expectations with third parties and takes a proactive approach.

KEY RESPONSIBILITIES AND DUTIES

  • Investigating and planning the most appropriate route for a shipment, taking account of the perishable or hazardous nature of the goods, cost, transit time, and security.
  • Arranging appropriate packing, taking account of climate, terrain, weight, nature of goods and cost, and the delivery and warehousing of goods at their final destination.
  • Negotiating contracts, transportation, and handling costs.
  • Obtaining, checking, and preparing documentation to meet customs and insurance requirements, packing specifications, and compliance with overseas countries' regulations and fiscal regimes.
  • Taking into account and being aware of the documentary requirements and availability of import permission at the destination.
  • Offering consolidation services by air, sea, and road — ensuring cost-effective and secure solutions to small shippers with insufficient cargo to require their own dedicated units.
  • Liaising with third parties to move goods (by road, rail, air, or sea) in accordance with customer requirements.
  • Arranging insurance and assisting the client in the event of a claim.
  • Arranging air transport for urgent and high-value freight and managing the risk door to door.
  • Arranging charters for large volume, out-of-gauge, or project movements by air and sea.
  • Working closely with customers, colleagues, and third parties to ensure smooth operations to deadlines.
  • Dealing with ad-hoc logistics requests, investigating all details independently, and leading projects to a successful end.
  • Consulting colleagues from different departments on logistics topics upon request.
  • Calculating volumes for goods and estimating freight costs, providing good approximations even when not all data is available.
  • Checking freight invoices and maintaining tracking records for all shipments in a dedicated database.
  • Participating in the preparation of tender documentation.
  • Comparing and choosing among suppliers of packing materials and maintaining the necessary stock levels.
  • Maintaining communication and control through all phases of the journey, including producing management reports and statistical and unit cost analyses.
  • Acting as a consultant in customs matters.
  • Maintaining current knowledge of relevant legislation, political situations, and other factors that could affect the movement of freight.

QUALIFICATIONS & REQUIRED SKILLS

  • University degree.
  • At least 2 years of experience in Logistics.
  • Confident, proactive, well-organised, and able to work under pressure.
  • Solid listening, communication, and presentation skills.
  • Ability to handle high complexity and multiple tasks.
  • Client-oriented attitude.
  • English: Fluent; other languages are an advantage.
  • Good computer skills including MS Office applications.
