Department Overview

We're looking for a highly motivated and experienced Senior Human Resources Specialist to join our growing team. In this role, you'll play a crucial part in various HR functions, contributing to a positive and productive work environment.


Job Description

• Serving as a subject matter expert (SME) for the HR Administration team, the HRBP team, and employees;
• Drive process changes and display flexibility in adapting to new organizational requirements and a fast-paced environment;
• Apply strong analytical and synthetic skills to review current processes, identify bottlenecks, and propose innovative improvements;
• Administer employee records (paper and digital) with high attention to detail and data security;
• Develop, document, and implement internal HR procedures, instructions, and policies to optimize efficiency and ensure consistency;
• Collaborate closely with benefits providers (e.g., medical, insurance) to manage enrollment, changes, and ongoing administration;
• Prepare and generate customized reports using MS Excel and other office tools for management, focusing on key HR metrics;
• Process and submit mandatory declarations and documentation to regulatory bodies, including highly proficient use of the Płatnik system;
• Ensure full compliance with Polish Labor Law and related legal regulations in all HR administrative processes;
• Recording and maintaining data in HR platforms;
• Involvement in global projects;
• Manage the full employee life cycle administration;

• Conducting internal training in Labor Law for managers in person and online;
• Welcome trainings for new hires in person;
• Collaborate closely with Payroll and TA Team to ensure accurate data, compliance and timely reporting.


Basic Requirements

Skills – Must Have

  • Minimum 8 years of experience in HR Administration;
  • Excellent, practical knowledge of Polish labor law and related legal regulations;
  • Proficiency in using HR software (e.g., Xpertis, SAP, Optima);
  • Proficiency in using Płatnik (Polish Social Insurance Institution software);
  • Proficiency in using MS Office package and Google Workspace;
  • Experience in collaborating with benefits providers;
  • Experience in preparing internal procedures and instructions;
  • Fluent English and Polish;
  • Strong organizational and time management skills;
  • Out-of-the-box thinking;
  • Excellent interpersonal and customer-facing skills;
  • Flexibility and openness to constant and fast change;
  • Ability to thrive in a fast-paced environment ;
  • Solution-oriented mindset;
  • Strong analytical and synthetic skills, coupled with holistic perception;

Skills – Nice to Have

  • Knowledge of regulations concerning the employment of foreigners;
  • Knowledge regarding the rights of people with disabilities;
  • Experience in creating personalized tools for HR (e.g., time and attendance systems);
  • Knowledge of PPE regulations.
