Independently executes comprehensive HR operational support across the employee lifecycle, serving as a trusted resource for HR Business Partners and People Operations teams while delivering efficient and compliant HR services. Manages complex HR processes including onboarding, offboarding, employee relations investigations, recruitment coordination, and HRIS administration while ensuring exceptional employee experiences and adherence to company policies. Leads HR projects, drives compliance initiatives, and coordinates facilities management activities to build organizational capability and maintain effective workplace operations aligned with business needs.

Manages complex HR processes including onboarding, offboarding, employee relations investigations, recruitment coordination, and HRIS administration while ensuring exceptional employee experiences and adherence to company policies. Leads HR projects, drives compliance initiatives, and coordinates facilities management activities to build organizational capability and maintain effective workplace operations aligned with business needs.

Essential Functions:

  • Lead and continuously improve new hire onboarding programs, designing engaging orientation experiences that accelerate integration, introduce company culture, and ensure new employees have necessary resources and knowledge to succeed.

  • Independently manage recruitment processes including resume screening, interview coordination, candidate assessment, employment offer preparation, and hiring documentation while partnering with hiring managers to deliver quality talent acquisition outcomes.

  • Execute end-to-end People Operations support with full ownership of employee lifecycle processes including onboarding, offboarding, HRIS data integrity, employment verifications, leave administration, and benefits coordination while maintaining accurate records and resolving complex scenarios.

  • Independently handle confidential employee relations matters including conducting workplace investigations, documenting findings, recommending corrective actions, supporting performance improvement plans, and managing termination processes in partnership with HR Business Partners and Legal.

  • Lead compliance initiatives including internal HR audits, regulatory reporting, employee handbook updates, policy development, and training programs to ensure organizational adherence to employment law, industry standards, and best practices.

  • Drive optimization of HR workflows across cross-functional teams including Recruiting, Finance, Legal, and IT by analyzing process inefficiencies, designing improved workflows, and implementing operational enhancements that measurably improve service delivery.

  • Manage immigration and global mobility processes independently by coordinating with legal counsel, government agencies, and employees to facilitate visa applications, work authorization renewals, relocation support, and international assignment logistics.

  • Lead People Ops initiatives including employee experience programs, engagement surveys, company events, recognition programs, and organizational change implementations that strengthen culture and support business objectives.

  • Serve as primary point of contact for employee inquiries, interpreting policy applications, providing guidance on leave and benefits matters, and exercising judgment on when to escalate to senior HR leadership.

  • Lead research projects and conduct advanced HR data analysis to identify trends, support strategic workforce planning, develop evidence-based recommendations, and contribute to the creation of HR policies, procedures, and best practices.

  • Manage facilities operations including workspace planning, vendor relationships, workplace safety programs, office maintenance coordination, space utilization optimization, and real estate projects to ensure functional, safe, and compliant work environments.

  • Oversee real estate and facilities activities by managing office supply procurement, coordinating building access and security systems, leading space planning initiatives, and partnering with Facilities teams on workplace improvement projects.

  • Leverage AI tools and techniques to enhance work efficiency and optimize business operations by automating routine tasks to improve accuracy, save time, and minimize errors.

  • Utilize AI-driven insights to refine decision-making, elevate customer experience, and boost team productivity while ensuring its application provides measurable value, driving innovation and smarter ways of working.

  • Stay informed on AI advancements to drive continuous learning and scalable growth opportunities.

Experience Required:

  • Undergraduate degree with 5+ years of progressive HR experience in generalist, operations, or business partner roles with demonstrated expertise across multiple HR disciplines or equivalent combination of education and experience

  • Solid understanding of HR principles and practices including talent acquisition, employee relations, performance management, compensation, benefits, and HR compliance with ability to apply knowledge independently to complex situations

  • Strong working knowledge of employment laws and regulations including discrimination laws, wage and hour requirements, leave statutes, and workplace safety standards with ability to interpret and apply to diverse scenarios

  • Excellent organizational and project management skills with proven ability to manage multiple concurrent priorities, lead initiatives from inception to completion, and maintain attention to detail in fast-paced environments

  • Strong written and verbal communication skills with ability to facilitate difficult conversations, present to groups, explain complex HR concepts clearly, and build credibility with employees at all organizational levels

  • Demonstrated ability to handle highly confidential and sensitive employee matters with discretion, sound judgment, and professionalism while maintaining objectivity and fairness

  • Advanced proficiency with HRIS platforms including Workday or similar enterprise systems with ability to generate reports, analyze data, configure workflows, and troubleshoot system issues

  • Proven problem-solving skills with ability to independently resolve complex HR matters, exercise judgment on policy interpretation, and determine appropriate escalation paths

  • Strong collaboration and influencing skills with ability to partner effectively across HR functions, build relationships with cross-functional stakeholders, and drive process improvements

  • Emerging mentorship capability with willingness to guide and develop junior HR team members

  • HR certifications such as SHRM-CP, PHR, or equivalent professional credentials

  • Experience in software/SaaS, technology, or high-growth environments

  • Experience conducting workplace investigations and managing complex employee relations matters

  • Bilingual capabilities with demonstrated experience supporting diverse, multicultural employee populations

  • Experience managing facilities operations or workplace services

  • Advanced Excel skills and experience with HR analytics or reporting tools

The pay range for this role is based on relative market data and alignment with our compensation philosophy. The range displayed reflects the minimum and maximum of the pay range for each job posting, which is used to determine new hire rates/salaries and takes into consideration multiple factors including but not limited to knowledge, skills, abilities, proficiencies, experience, education, licensures/certifications, as well as business and organizational needs. nCino reserves the right to modify the posted range consistent with our internal practices and external market movement. The base salary range for this job is:

¥6,821,700 - ¥11,596,900
