Job Summary
We are seeking a seasoned and strategic Senior Facility Manager to lead the operations and management of our Goregaon, Mumbai office. This role requires a results-oriented professional with expertise in vendor management, compliance, cost control, and workplace experience, with the ability to drive operational excellence and continuous improvement in a dynamic and regulated environment.
Key Responsibilities:
Operational Oversight
Manage all facility services, including hard (HVAC, electrical, plumbing, fire safety) and soft services (cleaning, security, pest control).
Oversee maintenance operations and ensuring preventive and predictive strategies are implemented.
Conduct regular inspections/audits for health, safety, and compliance with statutory regulations (e.g., PCB, Electrical Inspectorate).
Drive day-to-day service delivery aligned with SLAs and KPIs.
Strategic & Financial Management
Prepare, manage, and optimize OPEX and CAPEX budgets, including forecasting, cost tracking, and value engineering.
Ensure adherence to financial governance, timely PO processing, and vendor payments.
Provide monthly facility reports to leadership with insights on cost per head, energy consumption, and operational metrics.
Vendor & Contract Management
Lead vendor selection, negotiation, onboarding, performance monitoring, and contract renewals.
Manage AMCs, lease agreements, statutory renewals, and ensure service compliance.
Act as the primary liaison with outsourced service providers for technical and support services.
Compliance & Risk Management
Ensure 100% compliance with all local, national, and industry-specific legal and environmental regulations.
Maintain records for audits and regulatory inspections.
Own the facility’s Business Continuity Plans (BCP), crisis response, and incident management (fire drills, emergency protocols).
Workplace & Space Management
Oversee space planning, office moves, fit-outs, and hybrid workspace design to optimize utilization and employee productivity.
Support ESG initiatives including waste diversion, energy tracking, and wellness programs
Manage front -office operations, ensuring a premium client-facing experience.
Team Leadership
Lead and develop a high-performing team through goal setting, reviews, and training.
Collaborate with HR, Legal, Finance, and executives to align facility strategy with business goals.
Present key facility metrics and updates to senior leadership and board members.
Drive continuous improvement via best practices, new technologies, and data insights.
Workplace Optimization & Projects
Support corporate real estate strategy and headcount planning.
Lead space reconfigurations, workplace enhancements, and cross-site coordination.
Implement technology-driven workplace solutions for improved service delivery.
Qualifications & Experience
Minimum 10+ years of experience in Facility Management, with 3+ years in a senior leadership capacity.
Experience in managing Class A office facilities in financial or regulated industries preferred.
Strong knowledge of contract management, technical services, safety regulations, and sustainability programs.
Proficiency but not mandatory in CMMS/CAFM/IWMS tools. Proficiency in Microsoft Office Suite.
Experience managing vendor performance, compliance, and cost efficiency across multiple sites.
