The Senior Executive at the Undergraduate Office (UGO), School of Civil & Environmental Engineering (CEE), plays a key role in supporting outreach, admissions, and alumni engagement initiatives. This position contributes to strengthening relationships with prospective students, alumni, and stakeholders, while enhancing the overall student and alumni experience and institutional branding.
Job Description:
1. Outreach Initiatives
Plan, organise, and execute outreach activities to promote CEE programmes to prospective students and parents, including events such as Open House, Tea Receptions, and Freshmen Orientation.
Plan and deliver engaging and informative campus tours to support student recruitment efforts.
Plan and participate in outreach activities at Junior Colleges and Polytechnics to enhance CEE programme awareness and engagement.
2. Undergraduate Admission Support
Support the Lead in coordinating recruitment-related activities, including scheduling and facilitating applicant interviews and meetings.
Respond promptly and professionally to enquiries from prospective applicants.
3. Mentorship Programme Administration
Administer the academic mentoring scheme, including student allocation and coordination of mentor-mentee activities.
Support the industry mentoring programme, including student matching and engagement coordination.
Oversee the Peer Tutoring scheme to ensure effective implementation and participation.
4. Administration of Student-related Matters
Support awards and honours processes, including valedictorian nominations, book prizes, scholarships, and Dean’s List administration.
Manage student academic matters such as programme transfers, course exemptions, and short-term leave applications.
5. Website and Content Management
Assist in updating the School website with accurate and current information related to admissions, alumni, and student achievements.
6. Alumni Engagement
Plan and execute alumni engagement events for the School.
Support alumni relations initiatives, including CEE Alumni Awards during NTU Alumni Homecoming Day.
Provide administrative and logistical support to the CEE Alumni Association for seminars and activities.
Collaborate closely with the Office of Alumni Engagement to align outreach efforts.
7. Enquiries Management
Respond to enquiries relating to admissions and alumni matters via email, phone, and walk-ins in a timely and professional manner.
Maintain and update a FAQ or knowledge base to ensure consistency and accuracy in responses.
Job Requirements:
A recognised University Degree.
Diploma holders with at least 2 years of relevant administrative experience are welcome to apply.
