We are seeking a dynamic and skilled Senior Executive, Events & Operations to join our team. The role will be responsible for planning, coordinating, and executing career-centric events as well as managing other shared operational functions such as office administration. This individual will work closely with staff, students, employers, and other stakeholders to ensure the seamless delivery of services and events that support our students' career development and enhance their corporate readiness.
Key Responsibilities:
Event Planning and Coordination:
Assist in the planning, conceptualisation and execution of recruitment-related events and initiatives. Including providing on-site support for career fairs, employer panels, workshops, and networking sessions.
Collaborate with internal and external stakeholders to secure participating employers, panellists and/or guest speakers.
Gather and evaluate vendor quotations, recommend the most suitable options, and track all related event expenses to support budget management.
Coordinate and oversee logistical arrangements, including site recce, venue setup, furniture rental, AV requirements, and catering services.
Prepare registration and feedback forms and corresponding QR codes for use during events.
Arrange transport for off-campus events, such as company visits, and ensure smooth coordination for participants.
Provide on-site supervision during events, ensuring smooth operations and timely resolution of issues.
Stakeholder Engagement:
Extending first level support and response to students and employers through management of role-based email accounts.
Draft and coordinate email communications targeted at employers and students, including event invitations, promotional content, and post-event follow-ups.
Fostering close ties with both internal and external stakeholders (i.e., CAO teams, appointed vendors) to ensure smooth execution of events.
Assist in recruiting, coordinating, and maintaining an active pool of student assistants, including conducting pre-event briefings to ensure they are well-prepared for on-site support during events.
Administration:
Manage event billing processes, including issuing invoices and following up on outstanding payments with participating companies.
Raise purchase requisitions in the procurement system for event supplies and vendor services, such as stationery, catering, photography services.
Responsible for verifying and processing goods receipt entries in the procurement system for office-related purchase requisitions.
Report Preparation and Analysis:
Collect, review and analyse feedback from events. Prepare post-event reports summarising key outcomes, challenges, and improvement suggestions.
Prepare regular reports on events, track event progress, timelines and outstanding tasks to ensure smooth project flow.
Qualifications, Skills & Competencies:
A Bachelor’s Degree from a recognised tertiary institution in Business Administration, Event Management, Communications, or related fields.
2 to 3 years of relevant work experience preferably in an academic or similar environment.
Experienced in office administration, events and operations.
Familiarity with career services and student development programmes.
Excellent interpersonal, communication, stakeholder engagement and management skills.
Ability to work independently and as part of a team in a fast-paced environment.
Strong time management, organisational and problem-solving skills.
Analytical, meticulous and capable of handling sensitive information with confidentiality and professionalism.
Proficient in Microsoft Office (Excel, Powerpoint, Word). Knowledge of design tools (Canva, Photoshop) a plus.
Passionate in driving positive impact for stakeholders, particularly students.
Customer-service orientation; able to build rapport with internal stakeholders.
Proactive self-starter with strong independent thinking and problem-solving abilities, able to anticipate needs and take initiative.
Supportive attitude towards colleagues and willingness to assist with various tasks.
