Fixed-term position for 12 months (maternity leave cover), commencing late June 2026
Base salary in the range of $95,361.62 to $102,302.92 plus 17% superannuation (HEW Level 6)
Based at our picturesque St Lucia Campus
This role plays a pivotal part in supporting the executive and administrative functions of the Pro Vice-Chancellor (Global Partnerships). You will bring strong communication and interpersonal skills, proven experience working with diverse stakeholders, and the ability to operate effectively in a fast-paced executive environment.
A high level of attention to detail is essential, particularly in managing complex executive diaries, international travel arrangements, and itinerary development across multiple time zones.
Manage administrative systems to ensure efficient workflows, prioritisation, and timely outcomes.
Act as a key point of contact, responding to enquiries from internal and external stakeholders with professionalism and discretion.
Provide comprehensive diary and schedule management for the Pro Vice-Chancellor, proactively anticipating competing priorities.
Coordinate complex domestic and international travel arrangements, including itinerary development, time zone considerations, visa requirements, and associated logistics.
Manage financial processes, including reimbursements, expenses, and account reconciliation.
Coordinate portfolio-related projects, undertake research, and draft correspondence as required, including minute taking and committee support.
Maintain awareness of the portfolio’s operational plan, budget, and key University initiatives.
Ensure compliance with University policies, procedures, and governance requirements.
Organise functions, workshops, meetings, and stakeholder engagement activities.
Support the coordination of international delegations and high-level stakeholder engagements.

A relevant degree with experience in senior executive support, or extensive administrative experience supporting a senior executive in a large organisation.
Excellent written and verbal communication skills, with the ability to engage confidently with a wide range of stakeholders.
Strong judgement, discretion, and problem-solving skills, particularly when handling confidential and sensitive matters.
Demonstrated experience in stakeholder management, issue resolution, and navigating policies and procedures.
Proven expertise in coordinating complex domestic and international travel arrangements, including scheduling across multiple time zones.
Knowledge of university administration and corporate systems is highly desirable.
You must maintain unrestricted work rights in Australia for the duration of this appointment, and may be required to complete background checks including, criminal history and education checks. Employer sponsored work rights are not available for this appointment.
