Role Overview

We are seeking an experienced and proactive Senior Executive Assistant to support members of the Board and senior management from our Hamburg office. In this role, you will be a central enabling force ensuring the leadership team can focus on strategic priorities while you manage, coordinate, and execute operational and administrative functions with precision and discretion.

You will work closely with executives and internal partners, facilitating efficient workflows, organizing key meetings and events, and representing the Board Office with professionalism internally and externally. This role requires exceptional organisational skills, high integrity, and the ability to thrive in a fast-paced environment where reliability and attention to detail are paramount.

What You Will Do

  • Manage and prioritize complex calendars to ensure smooth coordination of internal and external meetings and calls.

  • Organize business travel, including booking, detailed itineraries, and travel expense administration.

  • Prepare, review, and format presentations, reports, and meeting materials.

  • Handle professional correspondence in German and English and serve as a central point of contact.

  • Triage inboxes and requests, ensuring timely responses and appropriate prioritization.

  • Maintain confidential files, records, and structured information systems.

  • Coordinate and prepare board meetings, leadership workshops, offsites, and related events — including agendas, briefing materials, logistics, and follow-up actions.

  • Act as the primary liaison between Board members, senior management, internal teams, and external partners.

  • Ensure clear, consistent, and timely communication across stakeholders.

  • Identify and implement improvements to administrative processes (e.g., document management, travel booking, meeting preparation).

  • Manage deadlines, priorities, and workflows to ensure visibility on key deliverables.

  • Support operational processes including purchase orders, invoice coordination, documentation, and database hygiene.

  • Assist with preparation, coordination, and follow-up of strategic projects and initiatives for Board members.

  • Facilitate cross-functional coordination for recurring management activities and special events.

  • Monitor status, prepare updates, and support execution of action items and deliverables.

What We Are Looking For

  • Completed commercial training or degree in business, management, or a related field.

  • Several years of experience in an executive or board-level assistant role.

  • Outstanding organisational skills and ability to work with structure and discipline.

  • Fluent written and spoken English and German.

  • Excellent MS Office skills and confident use of modern collaboration tools.

  • High attention to detail and ability to manage multiple priorities under pressure.

  • Experience handling confidential information with discretion.

  • Strong stakeholder management skills; professional and service-oriented approach.
