About the Role

We are hiring a Senior Executive/ Assistant Manager (Research Administration & Grants Management) to support EOS’s large and diverse research portfolio by managing research administration, grants management, financial governance, and operational coordination.

Working under the direction of the EOS Director and reporting directly to the Assistant Director, Grants Management, the incumbent is responsible for ensuring the effective execution of funded projects across all stages of the grant lifecycle, directly contributing to the foundation for potential scientific breakthroughs and ultimately making a meaningful impact on society.

Key Responsibilities

  • Support the full lifecycle of research grants, ensuring seamless execution across all stages of funded projects while adhering to grant protocols and guidelines.

  • Monitor budgets, review expenditures, prepare financial reports and virements, and ensure audit readiness.

  • Oversee procurement processes, vendor management, and coordination of operational logistics, including travel, workshops, and fieldwork in accordance with NTU and funder guidelines.

  • Collaborate closely with academic staff, management, and University offices to address and manage administrative matters pertaining to grants.

  • Prepare research contracts and research collaboration agreements with individuals or organisations.

  • Serve as the point of contact between academic staff and internal/external stakeholders to support the management of research projects including but not limited to grant calls, grant proposal submission and recruitment-related functions.

  • Support process improvements by participating in the development and implementation of AI-driven automated workflows to enhance administrative efficiency.

  • Mentor junior administrative staff.

Requirements

  • Bachelor’s degree in Business, Finance, Public Administration, or related fields.

  • Preferably with at least 2 to 4 years of research administration experience in an administrative position within academic or research sector.

  • Strong knowledge of procurement, budgeting, compliance, and audit processes.

  • Excellent organizational, analytical, and problem-solving skills with the ability to multitask and prioritize tasks in a fast-paced environment.

  • Excellent written and verbal communication skills, able to interact professionally with stakeholders at all levels.

  • Meticulous with strong attention to detail.

  • Able to work independently with minimal supervision and collaboratively in a team.

  • Adaptable and resilient with a willingness to learn and acquire new skills as required.

  • Proficiency in Microsoft Office Suite and other productivity/collaboration tools; familiarity with grant management systems is a plus.
