We are seeking a highly experienced Senior Executive Assistant to support a C-level executive. This role goes beyond traditional administrative support—you will act as a strategic partner, trusted advisor, and operational backbone to ensure the executive and leadership team operate at peak effectiveness.
This position requires exceptional organizational rigor, sound judgment, and a proactive mindset. The ideal candidate is detail-oriented, highly accountable, and thrives in a fast-paced, high-stakes environment where accuracy is critical.
You will report to our Executive Vice-President, Interactive Graphics, Media & Entertainment, and this position is hybrid, working from our San Francisco office.
Responsibilities
Manage and optimize the executive’s complex calendar, including prioritization, conflict resolution, and strategic time management across global time zones
Serve as a gatekeeper and advisor on time allocation, ensuring alignment with business priorities
Anticipate needs, identify potential issues, and proactively implement solutions before problems arise
Prepare the executive for meetings with briefings, agendas, and relevant materials
Handle highly confidential information with discretion and sound judgment
Partner closely with the Chief of Staff to drive operating cadence, including leadership meetings, agendas, follow-ups, and communications
Track action items and ensure timely completion across the leadership team
Maintain meeting logs, communication channels, and documentation to support organizational clarity
Provide occasional meeting support (notes, summaries, distribution of materials)
Lead end-to-end logistical planning and execution of leadership events, including:
Quarterly leadership team offsites
Annual Extended Leadership Team (XLT) offsite
Own all event logistics: venue sourcing, travel coordination, scheduling, materials preparation, on-site execution, and post-event follow-ups
Partner with the Chief of Staff and leadership team to support the delivery of the agenda and content
Ensure seamless execution by anticipating needs, managing timelines, and handling all operational details with precision
Develop contingency plans and troubleshoot in real time to ensure a high-quality, frictionless experience
Coordinate complex domestic and international travel, including detailed itineraries
Manage expense reporting, departmental budgets, and invoice processing
Serve as point of contact for departmental purchases and vendor coordination
Ensure timely processing and accuracy of all financial and administrative tasks
Act as a liaison between the executive and senior leaders, internal teams, and external partners
Build strong cross-functional relationships and collaborate effectively with other Executive Assistants
Communicate clearly, professionally, and with precision across all levels of the organization
Help drive alignment, clarity, and efficiency across teams
Identify opportunities to improve processes, systems, and ways of working
Demonstrate ownership and accountability for outcomes—not just tasks
Maintain a high bar for quality, accuracy, and responsiveness in all deliverables
Minimum Qualifications
6+ years of experience supporting C-level executives
Proven experience managing complex calendars, global travel, and executive operations
Strong track record of operating in fast-paced, high-demand environments
Exceptional organizational skills and attention to detail
Experience planning and executing large-scale events and offsites
