Job Description
We are seeking an exceptional Senior Executive Assistant to provide high-level administrative support to our Zone President, managing complex calendars, coordinating travel arrangements, preparing correspondence, and handling confidential matters with discretion. This role also oversees a team of Executive Assistants (4-6 individuals) and is responsible for their development and engagement – beyond supporting their KHX members and other leaders. Success requires both operational excellence and the willingness to provide dependable support outside standard hours.
Key Responsibilities:
- Provide administrative support to the Zone President, ensuring seamless day-to-day operations and effective time management.
- Manage complex calendars, coordinate meetings across time zones and stakeholders, and be available to make last-minute adjustments as necessary.
- Prepare and distribute correspondence, reports, and presentations, ensuring accuracy, attention to detail, and timely delivery.
- Handle confidential matters with discretion, including sensitive employee issues, performance management, and other HR-related topics.
- Coordinate projects and special assignments, including event planning, board visits, budget management, and vendor relationships.
- Serve as a point of contact for internal and external stakeholders, including employees, customers, and partners.
- Act as a mentor for the other Executive assistants based in the Netherlands
- Manage expense reports, invoices, and other financial documents, ensuring accuracy and compliance with company policies.
- Develop and maintain relationships with key stakeholders, including other EAs, HR team members, and external partners.
- Stay up-to-date on company policies, procedures, and initiatives, ensuring compliance and effective implementation.
Expected Experience & Required Skills:
- Minimum 5 years of experience as an Executive Assistant, supporting senior-level executives in a fast-paced, dynamic environment.
- Proven track record of providing exceptional administrative support, with a focus on discretion, confidentiality, and attention to detail.
- Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.
- Proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint, Teams) and other productivity tools.
- Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
- Strong organizational skills, with a focus on efficiency, accuracy, and timeliness.
- Experience working in a multicultural environment, with a strong understanding of cultural nuances and sensitivities.
- Fluency in English, with additional language skills (e.g., French, German, Dutch) highly desirable.
Nice to Have:
- Experience supporting senior-level executives in a multinational corporation.
- Knowledge of HR systems, processes, and best practices.
- Certification in executive assistance, administration, or a related field.
- Experience with travel management, event planning, and budget management.
