We have a rare opportunity for an experienced Senior Executive Assistant to join Citi New Zealand.
Working in a fast-paced and close-knit team environment, you will support the CEO with inbox and diary management, arranging internal and external face to face meetings and overseeing multiple video calls per week. You will manage domestic and international travel arrangements including accommodation, visas, client entertainment and expense claims, and interact regularly with other offshore assistants to coordinate conference calls with international offices and across different time zones.
This is a broad role that will also complete and coordinate a range of office administration tasks with offshore Citi businesses and functions as you would expect in a smaller team environment.
Qualifications & Requirements:
5+ years experience providing executive assistant support, preferably in the banking and finance industry
A proactive approach, with the ability to understand the nature of the business and priorities within the team while maintaining a high level of discretion, confidentiality and professionalism
Proficient in Microsoft Office and ideally Concur with an ability to quickly gain command of new systems
Strong organisational, planning and multi-tasking abilities and the ability to effectively manage conflicting priorities
Familiarity with and strict adherence to Citi policy and procedures
A willingness to embrace a broader set of tasks that need to be completed across the franchise.
Excellent relationship management with the ability to liaise, interact and communicate effectively with stakeholders at all levels, both internally and externally
Responsibilities:
Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
Coordinate travel arrangements; domestic & international
Prepares, reconciles, and tracks expense reports through the Travel and Entertainment Expense system
Process and follow-up on Virtual Requests
Manage visitors, kitchen and meeting rooms and pay select suppliers
Organise select client events and assist in ad-hoc projects as needed
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.
