The Distribution Sr. Coordinator is responsible for the smooth running of distribution operations in compliance with established Standard Operating Procedures (SOPs) and GDP requirement.
The role manages Order to Cash operations (customer orders, deliveries, pricing, tenders, invoicing, and dunning) as well as Customer Master Data through its whole lifecycle (data creation, validation, maintenance, revalidation, and deactivation).
The role acts as the main contact for 3PLs and BeOne Medicines stakeholders (BeOne Finance, Quality, Supply Chain, Regulatory, in-country Commercial teams) on all distribution-related activities.
As such, key to the role is the ability to provide pro-active communication.
Essential functions of the job:
Distribution Operations – Order to Cash (O2C):
· Closely collaborates with Third-party Logistics (3PLs) to ensure that all orders are processed, and shipments are delivered on time.
· Provides support to the 3PL on orders and shipments.
· Ensures effective communication with customers and provide information and resolutions in a timely manner.
· Monitors allocation/quota/suspicious orders and shortage risk.
· Processes credit notes, debit notes and product return.
· Supports collection of order-to-cash data and reports.
Distribution Operations – Customer Data (creation-revalidation-deactivation):
· Sets up new customers and update existing ones ensuring BeOne master data is accurate.
· Runs regular sanity checks to ensure customer data accuracy and completeness (Payment Terms, Incoterms, Tax codes, credit limits, complete order/billing execution).
· Timely plans, executes and documents the annual customer revalidation, ensuring compliance with GDP requirements and country-specific documents/licenses.
Distribution Operations – GDP Support:
· Logs distribution incidents and analyses data to optimize operations in scope (incorrect orders, customer address, shipping methods, delayed shipments, etc.).
· Initiates Quality deviations in Veeva QMS for events impacting the quality or safety of BeOne products (product returns, damages, etc.).
· Helps maintain up-to-date SOPs and WIs.
Distribution Operations – Continuous Improvement:
· Supports Order to Cash operational readiness for new country launches, New Product Introduction, or new distribution models.
· Supports global projects such as system enhancements and new feature development (SAP, EDI, Veeva) aimed at simplifying distribution operations.
· Helps identify standardization and optimization opportunities for distribution processes across Europe, with a focus on lead time, quality, costs and customer experience.
· Assists in the analysis and reduction of distribution costs in collaboration with the Finance and Supply Chain teams.
· Participates in SLA (Service Level Agreement) and performance reviews with logistics providers, helping to ensure service level targets are met.
Qualifications:
Associate degree and/or equivalent.
5+ years of work experience in a pharmaceutical industry required.
English required, any other major European language a plus.
SAP SD/MM experience.
EDI knowledge.
Veeva Knowledge is a plus
GDP knowledge.
Understands basics of temperature-controlled shipments (ambient and cold chain).
Ability to prioritize and focus on detail.
Proactive attitude with sense of initiative.
Solution oriented and customer focus.

Computer Skills: Standard Computer Skills required (MS Office); SAP; ideally a QMS
Other Qualifications: Fluency in both verbal and written English and any other European language.
