Senior Client Rate Analyst

General Description:

We are seeking a Senior Client Rate Analyst to join our team. The Senior Client Rate Analyst serves as the primary coordinator for all tasks and processes related to non-standard client fee arrangements. This position ensures that alternative fee agreements, customized rate structures, and client specific pricing terms are documented, tracked, and monitored in full compliance with the firm’s established policies and procedures. The Senior Client Rate Analyst also leads the firm’s annual exception rate process for clients whose fee arrangements include scheduled adjustments, annual increase allowances, or rate expiration terms. This role collaborates extensively with Pricing, Financial Planning & Analysis (FP&A), Billing, Ebilling, and Collections teams to support firmwide initiatives, data accuracy, and client focused service delivery. This position helps drive financial predictability and contributes directly to the firm’s revenue optimization efforts.
 

Key Responsibilities and Essential Job Functions:

Non‑Standard Fee Arrangement Management

  • Lead the implementation of newly negotiated rate agreements and other pricing arrangements, working closely with our Pricing Team and our Billing and Ebilling teams to ensure complete and accurate updates across all our financial platforms.
  • Ensure non-standard fee agreements are accurately documented, approved, and maintained in accordance with firm policies.
  • Track and monitor agreement terms, conditions, expiration dates, and rate change allowances to ensure compliance and timely action.
  • Maintain an organized repository of fee agreements and supporting documentation.
     

Annual Exception Rate Process

  • Lead the annual review and adjustment process alongside the pricing team for clients eligible for rate changes based on contractual terms or scheduled increases. Manage same for clients with off-cycle adjustments.
  • Analyze client rate agreements to determine eligibility and timelines for annual rate adjustments.
  • Coordinate with attorneys, Billing and Ebilling teams, and Pricing to implement rate changes in financial systems.
  • Monitor rate activation and ensure accurate updates across all downstream billing platforms.
     

Cross‑Functional Collaboration

  • Work closely with the Pricing team to evaluate non‑standard rate proposals and provide operational insights.
  • Partner with FP&A on analytics, forecasting, and financial reporting related to client rate performance.
  • Collaborate with Billing and Ebilling teams to troubleshoot rate discrepancies and ensure accurate billing outcomes.
  • Coordinate with Collections to address rate‑related issues impacting accounts receivable.
     

Reporting & Analysis

  • Prepare regular and ad‑hoc reports on rate usage, exceptions, compliance metrics, and upcoming rate adjustments.
  • Identify trends, risks, and opportunities related to client fee arrangements and rate structures.
  • Recommend process improvements that enhance accuracy, efficiency, and firmwide rate governance.
  • Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
  • Special projects and duties as assigned.
     

Required Skills:

  • Strong proficiency in financial and billing systems (e.g., Aderant, Elite 3E, or similar platforms).
  • Advanced Excel skills, including pivot tables and data analysis.
  • Familiarity with Ebilling platforms and rate validation tools.
  • Exceptional analytical and problem-solving abilities.
  • Ability to effectively manage multiple projects with competing deadlines and perform well under pressure. Must be adaptable and flexible to meet changing needs and priorities.
  • Excellent communication skills and the ability to collaborate across departments and various levels across the firm including attorneys, clients, colleagues and firm leadership.
  • Ability to communicate complex information in an effective manner.
  • Strong attention to detail and commitment to data accuracy.
  • Knowledge of or ability to learn Microsoft Office Suite, or Microsoft 365.
     

Required Qualifications & Education:

  • Minimum of 4-6 years of experience in pricing, billing operations, financial analysis or rate administration – preferably within a law firm or professional services environment.
  • Bachelor’s degree in Finance, Accounting, Business Administration or related field. May be substituted for relevant legal work experience.
     

Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Moderate or advanced keyboard usage.
