This Warsaw-based position will support the operational administration, governance, and enhancement of Moderna’s employee benefits programs across the EMEA and APAC regions. The Benefits Operations Specialist will be a key driver of both compliance and innovation—ensuring that benefits offerings are competitive, efficient, and in full alignment with country-specific regulations and Moderna’s global well-being strategy. A vital aspect of this role includes leveraging AI-enabled tools to streamline benefits processes and create a best-in-class employee experience across multiple geographies.

Here’s What You’ll Do

Your key responsibilities will be:

  • Managing the administration of country-specific benefits plans across EMEA and APAC, including health, risk, retirement/pension, and statutory/non-statutory leave programs.

  • Ensuring timely, accurate processing of enrollments, changes, and terminations in benefits plans per local regulations and internal policy.

  • Partnering with brokers, insurers, and third-party vendors for seamless operations, timely issue resolution, and escalations.

  • Supporting the rollout of benefits in new countries or when expanding offerings in existing markets.

  • Reconciliating benefits and pension data with payroll and vendor systems to ensure data accuracy and legal compliance.

  • Maintaining high-quality, audit-ready benefits data across HR systems and platforms.

Your responsibilities will also include:

  • Acting as the first point of contact for internal stakeholders and HR partners for all queries related to benefits administration.

  • Contributing to the global well-being agenda, supporting local adaptation and execution of corporate wellness initiatives.

  • Utilizing AI and automation tools to streamline and digitize benefits administration, minimizing manual processes and improving data quality.

  • Collaborating with IT, HR, and vendor partners to explore AI-driven opportunities in benefits workflows, reporting, and self-service.

  • Playing an active role in global benefits projects focused on digital innovation, scalability, and simplification.

  • Developing and maintaining accessible benefits guides, standard operating procedures, and training resources, with embedded AI capabilities where possible.

  • Continuously identifying and implementing improvements in benefits communications and operational experience.

    Benefits administration varies dramatically across countries. You'll need to stay ahead of local regulatory changes, global process innovations, and the evolving capabilities of digital tools to ensure Moderna remains both compliant and competitive in every market.

Here’s What You’ll Need (Basic Qualifications)

  • Bachelor’s degree

  • Minimum 3 years of experience in benefits administration, ideally in a multinational or regional role

  • Experience administering country-specific benefits plans, including healthcare, retirement/pension, and leave programs

  • Strong proficiency in Microsoft Excel and MS Office

  • Advanced English language proficiency (written and verbal)

  • Experience working with HRIS and benefits administration systems

  • Comfort using digital tools, automation, and AI-enabled solutions to improve administrative processes

Here’s What You’ll Bring to the Table (Preferred Qualifications)

  • Experience supporting benefits across multiple EMEA and/or APAC countries

  • Familiarity with Poland-based benefits administration and regional compliance requirements

  • Demonstrated experience using AI, automation, or digital tools to streamline HR or benefits operations

  • Strong organizational skills with exceptional attention to detail

  • Proactive, solutions-oriented mindset with the ability to anticipate and resolve issues

  • Strong stakeholder management and communication skills

  • Experience supporting global or regional well-being programs

  • Comfort working in a high-growth, evolving organization
