Ferring+You

As a Senior Assistant, Global HR, you will be supporting the Global HR function, working closely with the Center of Excellence (COE), and providing interim support to the Chief People Office (CPO) that is based in our HQ in Switzerland.

Your day at Ferring

  • Handle the full PO-to-pay process, including creating and tracking POs and invoices, coordinating suppliers, maintaining budget tracking, supporting Finance/Procurement, and resolving vendor and stakeholder queries.

  • Coordinate the full agreement and contract lifecycle, ensuring documents are correctly created, routed, approved, signed, and stored in Icertis or Adobe Sign, while liaising with Legal, Procurement, and internal stakeholders to keep processes compliant and on track.

  • Manage COE expense processes, supporting Concur submissions, organizing receipts, resolving missing or blocked items, handling corporate card setup and issues, and coordinating with Finance and support teams to ensure compliant, accurate expense reporting.

  • Coordinate end‑to‑end travel arrangements for COE teams, including booking flights and hotels, managing visas and authorisations, arranging local transport, and organising all travel details for smooth, compliant trips.

  • Maintain HR SharePoint content, distribution lists, Teams groups, and team calendars, ensuring information is accurate, access is updated, and new joiners are properly included in communications and recurring meetings.

  • Manage COE calendar and scheduling logistics, including organizing meetings and rooms, coordinating travel and time‑zone considerations, maintaining clear and updated calendars, aligning with multiple stakeholders, and adjusting schedules or details as needed.

  • Coordinate meetings, onsites, and offsites end‑to‑end, managing logistics, materials, documentation, venues, catering, travel, guest arrangements, and structured folders to ensure smooth, well‑organised events.

  • Coordinate visitor and guest logistics at the HQ, including scheduling meetings, registering visitors, arranging badges and lunch tickets, preparing workspaces, and supporting any related team meals or gatherings.

  • Maintain clear, well‑structured COE documentation and folders, ensuring files are organised, stored in the correct platform (Teams or OneDrive), regularly cleaned up, properly archived, and accessible to the right stakeholders.

  • 5+ years of experience in executive support, HR operations or finance administration.

  • Strong organisational and multitasking skills with high attention to detail.

  • Experience with systems such as Coupa, Concur, SharePoint, Teams and Excel (advanced).

  • Ability to coordinate with multiple stakeholders across regions and functions.

  • Fluency in English; excellent communication skills.
