Discovery Land Company is seeking a full-time, year-round Senior Administrator of Corporate Community Safety and Security to join the Corporate Safety and Security Department.
Job Summary:
This position will be responsible for providing administrative support to the overall security operations strategies to ensure the safety and well-being of members, guests, and staff throughout our global communities as directed by the VP of Global Security and the Corporate Community Safety and Security team. In addition, this person will assist with organizing, planning, scheduling, project management, and coordination of a wide variety of tasks.
This position requires a proactive style of working and the ability to operate with little oversight but consistent coordination and collaboration with other key corporate, development, and club executives.
Duties & Responsibilities:
Provide administrative support to the Corporate Community Safety and Security team, coordinating meetings, preparation for meetings, small events, correspondence and other administrative duties as assigned.
Responsible for managing and balancing the corporate budget, exercising independent decision making to deploy capital when needed as well as when reviewing and processing expenditures.
Provide support and conduct internal analysis of club level department budgets, ensuring corporate requirements are met.
Coordinate the schedules of multiple stakeholders, planning meetings and travel when required.
Produce agendas, presentations, participate in meetings, compile notes, and memorialize meetings, briefings, planning sessions to distribute minutes and assist in documenting and following up on action items as needed.
Review reports and documentation, exercising independent and discretionary thought verifying requirements are met and the report details are accurate.
Organize, maintain, and archive all relevant documents, both electronically and hard copies, so that they can be readily accessed when needed.
Draft and disseminate emails, memos, and formal letters from the DLC Corporate Community Safety and Security team to appropriate stakeholders when required.
Maintain and update systems and processes to streamline operations to operate as detailed and efficiently as possible.
Monitor and manage corporate user accounts, permissions, and access rights across various systems, applications, and networks, promptly revoking access when necessary.
Exercise autonomy and ownership in generating, preparing, and critically reviewing reports for the VP of Global Security, Regional Security Directors, and Executive Leadership. Proactively identify relevant data sources, determine report formats, and set priorities - making informed decisions on timing, content, and delivery of briefings - without direct oversight, ensuring leadership receives timely and actionable information.
Remain on-call and support the VP of Global Security with Emergency Management of critical incidents that pose catastrophic risk to projects in DLC’s portfolio. Be a key member of the corporate emergency response team, responsible for making significant and independent decisions to coordinate proper response, to include and not limited to: financial expenditures, logistical support, supply purchases, equipment rental. Work closely with Marketing and PR on messaging to disseminate to club membership and public.
Responsible for the collection of Standard Operating Procedures (SOPs) that are common across all DLC clubs to set a foundation of SOPs and best practices to build and maintain Community Safety (safety, security, medical, and fire) requirements to be used as corporate standards for new and existing clubs as directed.
Support in the development of the Community Safety and Security business plan for DLC outlining responsibilities and standards of care that Security is responsible for.
Track and manage the implementation of Master Security Plans at new projects with the Corporate Security and executive teams.
Coordinate Community Safety focused meetings and workshops with Directors of Security and Executive Leaders.
Provide assistance in developing and delivering training for Directors of Security on Corporate requirements, processes, standards and electronic data platforms.
Responsible for formatting documents and presentations for Directors of Security and Executive Leadership in the use of effective Emergency Management strategies to mitigate threats that may have high consequence outcomes for the clubs.
Maintain a high level of discretion and confidentiality.
Act as a liaison between the Corporate Safety and Security Team, Executive Leadership, and key stakeholders at the Club level to ensure consistent communication and ensuring involvement or decision-making in a timely manner.
Skills & Qualifications:
Prior experience in an administrative capacity working with executive personnel, experience in the hospitality or service industry is preferred.
Must possess outstanding administrative skills, including a high level of attention to detail, organization, and prioritization of multiple projects and tasks.
Must be proactive and capable of taking initiative, work proficiently with deadlines and without constant guidance or supervision.
Must be able to work efficiently in a team environment and also independently, while keeping key management personnel current on initiatives.
Proven success (examples) in project management, coordination and reporting with a focus on communication between multiple stakeholders, both domestically and internationally is preferred.
Proficiency in Microsoft Office Suite, specifically Outlook, Teams, Excel, Visio, Publisher, and PowerPoint.
Mastery of Excel preferred: charts, graphs, solver, pivot tables, advanced formula creation, and data manipulation.
Must be able to work remotely at a proficient and high level when required.
Professional, articulate, and have the ability to use good, independent judgment and discretion.
Must possess problem-solving and decision-making skills in a fast-paced environment.
Must possess a positive attitude, professional demeanor, and excellent interpersonal relationship skills, both verbal and written.
Leadership experience in building, training, motivating, and influencing others and experience in leading presentations and meetings.
Must be willing to work a varied and flexible schedule based on operational demands; willing and able to provide on-site support and be on-call to respond in emergency situations.
Must be available for phone calls and/or video conferencing when needed (flexible for multiple world time zones).
Ability to obtain a passport for international travel and willingness to travel to DLC locations as needed to support the mission.
Flexibility and ability to pivot to new projects and desire to work in fast-paced environment.
