About the Role

You will supervise the efficient day-to-day operational management of the SVCHS administration team and will serve as a primary point of contact for Justice Health, SVHM Specialist Clinics, and Sentence Management Division (SMD). Your duties will include developing, enhancing and simplifying reporting processes and maintaining data bases to ensure SVCHS complies with Organisational reporting requirements for SVHM and Justice Health. T

Duties will include but are not limited to the following:

•             Support the implementation of referral and booking systems between SVCHS and Specialist Clinics, ensuring administrative processes are efficient and patient-centred.

•             Design and maintain data collection systems to accurately capture departmental activity, outputs, and performance metrics.

•             Develop and oversee daily operational procedures for the SVCHS administration team to ensure consistent, high-quality service delivery.

•             Manage core administrative functions, including staff leave, HR coordination, orientation of new staff, office operations, meeting scheduling, and minute-taking.

•             Coordinate internal and external communications, fostering effective information flow between SVCHS, SVHM, Justice Health, and other prison health services.

•             Lead and support the administrative team, promoting a positive team culture

Classifications for this position will range from HS4 - H29 ($83,657.60 - $92,482.00 pro rata per annum).

Your Contribution

  • Demonstrated ability to lead a broad range of administrative support functions and junior administrative staff (including conducting performance reviews and regular review of staff workloads and outputs)
  • Excellent organisational and time management skills including the ability to determine workload priorities and meet strict deadlines
  • Advanced computer and technology skills (e.g. database, Word, Publisher, Excel, PowerPoint, Outlook)
  • Demonstrated ability to work with a range of key stakeholders (including health sector personnel, correctional providers, Justice Health and  partners) to develop effective relationships and partnerships
  • Demonstrated skills in coordination of meetings (including tele/video conferencing) and events, including: preparing agendas, minute taking and diary appointments, organising venue and catering and managing event registration including use of relevant databases.
  • Current National criminal history check, or willing to obtain

St Vincent’s Correctional Health Services (SVCHS) delivers secondary and primary health care, including primary mental health services, within its 20-bed subacute ward at Port Phillip Prison. In partnership with St Vincent’s Hospital Melbourne (SVHM), SVCHS also operates a state-wide coordination service to facilitate referral and appointment management for individuals in custody across Victoria.
