Senior Administrative Officer, Customer Operation

This role will provide full administrative support to the Operation team under CCOO office, reporting to Head of Customer and Policy Services, including meeting arrangement, correspondence preparation, business expense handling, travel arrangement coordination and diary management, and act as the department coordinator for organization-wide events working with other internal departments.

Job Responsibilities:

  • Provide comprehensive administrative support to the Operations team within the CCOHO Office, including meeting coordination, correspondence preparation, business expense processing, travel arrangements, and diary management.
  • Coordinate organisation-wide events as the departmental focal point, collaborating closely with internal departments and stakeholders.
  • Coordinate onboarding and offboarding activities, including system access requests, workspace setup, induction scheduling, and liaison with HR and IT.
  • Establish and maintain effective working relationships with senior executives and executive assistants across the organisation.
  • Support the Operations team with budget planning, tracking, and headcount exercises.
  • Prepare reports, minutes, and presentation materials for internal and external meetings.
  • Identify administrative process gaps and recommend improvements (e.g., standardised templates, streamlined approval workflows, and calendar management practices).
  • Perform other duties and projects as assigned.

Job Requirements:

  • University degree in Finance, Business Studies or related discipline
  • Proven administrative experience in supporting Head of Operation
  • Knowledge of life operations in insurance industry an advantage
  • Excellent interpersonal and communications skills
  • Proficient in MS Word, Excel, PowerPoint and Chinese Word Processing
  • Good command of spoken and written English & Chinese
