PURPOSE:     The Sr. Administrative Human Resources Associate manages and performs a wide range of HR generalist tasks within the Recreational Sports department, focusing on recruiting, onboarding, and managing business processes for student and non-benefits eligible staff. This role operates in a high-volume, transactional environment and requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting. While primarily supporting Recreational Sports, this position may also provide HR support to other campus departments as needed.

ESSENTIAL JOB FUNCTIONS:

  • Manage HR processes for non-benefits eligible staff, including job postings, onboarding procedures (Form I-9s), and employee record maintenance. Oversee the creation and maintenance of internal resource documents, ensure supervisors take timely action on HR tasks, and resolve related issues. Apply problem-solving skills, accuracy, and critical thinking in all HR-related functions. Operate effectively in a high-volume, transactional environment while maintaining accuracy and timeliness.
  • Assist managers in recruiting student employees by coordinating job postings and supporting efforts to promote and increase visibility of open positions. Monitor and assess applications, matching candidate preferences with departmental needs, and distribute them equitably to hiring managers. Support the Facility Operations team with recruitment, including reviewing applications, setting up interviews, and tracking candidates. May also support recruitment efforts for other campus departments as needed.
  • Hire, train, supervise, mentor, and evaluate student HR and runner staff. Participate in departmental student development activities, modeling professional behavior.
  • Ensure departmental compliance with HR policies such as onboarding, training, and reporting. Communicate with employees and managers regarding compliance, escalating issues as necessary. Serve as the primary point of contact for departmental driver compliance, guiding employees on required training courses and maintaining records to ensure all active drivers are up to date, while supporting the Associate Director of Human Resources in oversight of compliance processes.
  • Develop and maintain strong working relationships with departmental staff, Human Resource Services, and other campus departments. Represent the department at university-wide HR meetings.
  • Serve as backup to other HR staff members and the Administrative Associate for Senior Staff, ensuring consistent office coverage in their absence. Take necessary action in the absence of staff and work on special projects as assigned. Make recommendations for process improvements, including those that support efficiency in high-volume, transactional HR operations.
  • Other Duties – Serve as contributing member of the staff, participate in meetings, collaborate with colleagues, serve on special event committees, and perform other duties as assigned.

                                                                                                              

Required Qualifications: A High School Diploma or GED is required, along with clerical or administrative experience, including at least one year at the Administrative Assistant or Administrative Associate level. Candidates must demonstrate prior experience in supervisory capacity, including overseeing staff, coordinating work, or providing direction to others, along with strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a high-volume, transactional environment. Excellent written and verbal communication skills, along with the ability to interact effectively with a wide range of individuals and exercise sound judgment in handling sensitive information, are essential. Demonstrated competencies in conflict management, effective communication, decision-making and critical thinking, problem solving, tactical and strategic planning, and relationship management with a focus on service excellence are required.

Preferred Qualifications: A bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. Clerical experience, including more than one year of experience at either the Administrative Assistant or the Administrative Associate level is preferred. Experience working in a higher education or recreational sports environment is preferred. Proficiency in HR systems and tools such as Workday, Excel, and DocuSign is highly desirable. Demonstrated experience in a fast-paced, collaborative work environment with responsibility for recruiting, onboarding, and employee support processes is preferred. Familiarity with university policies and procedures, as well as experience supporting student employment or development programs, is advantageous. A Professional in Human Resources (PHR) or Society for Human Resource Management (SHRM) certification is preferred; candidates with these certifications are strongly encouraged to apply.

Salary:

$50,000+ depending on qualifications/experience

Working Conditions and Other requirements:

Regular and punctual attendance at the workplace required and work additional hours when required. This position’s work location is on The University of Texas at Austin campus. Comply with departmental and university policies and procedures, and all other university and system rules and regulations. Security sensitive position. The role involves occasional exposure to varying weather conditions. The position requires manual dexterity, lifting, and moving objects, as well as the ability to work in environments with alarms, large crowds, dust, and noise, including construction noise. The work area may occasionally be windowless, and there may be brief exposure to chemical fumes. The position also requires frequent use of a keyboard, repetitive hand movements, climbing stairs, and other manual tasks as part of daily duties.

Work under stress, as a team member and independently and with overlapping projects.  Maintain ability to interact cooperatively with staff and participants, work with limited direction, communicate effectively both in written and verbal form, be flexible, be resourceful and use initiative, be supervised, adhere to university policies and procedures, organize time and documents effectively, perform multiple tasks, and function capably in a complex organizational structure with fast-paced working conditions.  Ability to provide leadership, problem solve, supervise others, delegate tasks, make independent judgments, maintain confidentiality, maintain professional demeanor, and maintain knowledge required to perform professional duties.

Work is in-person on the main campus in Gregory Gym. Hours are Monday – Friday, from 8 AM – 5 PM.
