The Senior Administrative Assistant provides advanced administrative and coordination support to senior leaders, teams, or departments. This role focuses on strong organization, follow-through, and reliable execution of administrative processes in a busy environment. The Senior Administrative Assistant supports effective day-to-day operations by managing details, coordinating logistics, and ensuring work is completed accurately and on time.
Provide administrative and coordination support to one or more senior leaders or teams, assisting with scheduling, meeting preparation, and routine operational needs.
Manage calendars and meeting logistics, including scheduling meetings, resolving conflicts, and communicating changes to participants.
Serve as a point of contact for internal and external inquiries, directing questions appropriately and responding with professionalism.
Track tasks, deadlines, and follow-ups related to meetings, projects, or department activities; escalate issues as needed.
Prepare, format, and edit correspondence, reports, presentations, and other materials using established templates and guidelines.
Coordinate meetings and events by preparing agendas, organizing materials, capturing notes or action items, and supporting follow-up as requested.
Arrange domestic and international travel and process expense reports in accordance with company policies.
Support team activities and events, including meetings, training sessions, recognition activities, and department initiatives.
Maintain organized filing systems, documentation, supplies, and reference materials.
Handle confidential information with care and discretion.
Perform additional administrative and coordination duties as assigned to meet business needs.
High school diploma or general education degree (GED) required; additional education or certifications are a plus.
5 or more years of experience providing administrative support to senior leaders, executives, or leaders of complex or global functions.
Demonstrated experience managing projects, coordinating across stakeholders, and supporting leaders with competing priorities.
Proven ability to independently manage complex calendars, meetings, and travel arrangements while handling confidential information with discretion.
Experience planning and organizing meetings, events, or special initiatives, including preparation of materials and follow-up on action items.
Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; ability to create professional presentations and documents.
