We are seeking a highly organized and proactive Senior Administrative Assistant to provide essential administrative, operational, and project support to our team. This role supports executives, managers, employees, and office visitors while ensuring the smooth and efficient daily operation of the office and the successful execution of site initiatives and operational activities. The ideal candidate thrives in a fastpaced environment, excels at multitasking, and demonstrates strong organizational and communication skills.

Responsibilities

  • Execute a wide variety of administrative, organizational, financial, operational, and project-related tasks.
  • Provide daily support to executives, senior administrative staff, and office visitors.
  • Organize and maintain meeting schedules; manage conference rooms for executives and office teams.
  • Coordinate and support internal events, including off-sites, team-building activities, and organization-wide meetings.
  • Handle professional communication through phone, email, and messaging platforms.
  • Screen and route phone calls, messages, and inquiries.
  • Prepare reports, presentations, correspondence, memos, invoices, and other documentation.
  • Manage office filing systems and maintain up-to-date records.
  • Oversee office supply inventory; anticipate needs, place orders, and track deliveries.
  • Schedule and manage appointments, ensuring efficient calendar coordination and conflict resolution.
  • Coordinate travel arrangements and process expense reports.
  • Support global and business-wide initiatives.
  • Collaborate with administrative and operational staff to exchange information that supports budgeting and expense control.
  • Manage agendas for staff meetings, track and follow up on action items.
  • Lead initiatives related to site community building.
  • Lead the GPTW (Great Place to Work) work group.
  • Lead and oversee Visitor Center operations.
  • Manage agendas and logistics for VP/GM visits to the site.
  • Drive Manager Forums and All-Site Meetings.
  • Manage Site Operations indicators, including tracking, reporting, compliance, and coordination with operations groups.
  • Manage the Site Operations budget, including planning, tracking, and reporting.

Qualifications:

Minimum qualifications are required to be initially considered for this position.  Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications:

  • Bachelor's degree + 3 years of experience providing administrative support in a corporate, office, or professional environment.
  • Advanced English level.
  • Must have unrestricted, permanent right to work in Mexico (this role is not eligible for visa or immigration sponsorship).
