Supervises Patient Representatives in specific clinic and ensures front office duties are performed accurately, efficiently, promptly, and courteously. Assists in training and development of staff.The following is a summary of the major essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below. In addition, specific functions may change from time to time:
Registering and processing patients, to include appointment scheduling
Assists in cross training of current and new employees. Performs staff coverage as needed
Coordinates and maintains smooth office flow and effective communications
Enters or ensures daily charges are entered. Collects or supervises collection of insurance deductibles and co-payments, prepares receipt and charge reports. Close batches daily
Works Artiva reports and open encounter reports daily
Answers or ensures patient telephone inquiries are answered timely, accurate recording and prioritizing of messages and appropriate follow through is performed. Assists insurance companies and other hospital departments with patient information, etc.
Monitors the acuity and timely scheduling of appointments with clinic providers
Reviews new and established patient data process and ensures that such information is updated, and complete records are established
Ensures that accurate financial information is obtained and correctly entered in the system
Maintains census count and appropriate logs as required
Responsible for the preparing and balancing of daily front office financial batches for clinic manager to use in closing daily work
Responsible for monitoring to ensure that all waiting room areas are neat and operating in an organized manner
Responsible for supervising and evaluating Patient Representatives in specific clinic
Other duties as assigned
The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job:
High school graduate or equivalent required
Associate degree in business, health care administration or computer technology preferred
Knowledge of ICD-10, CPT-4 and medical terminology preferred
3 years of clerical experience with healthcare organization preferred
2 years of supervisory experience preferred
Experience with an EHR and data entry preferred
Must be able to institute independent judgment
Must possess excellent communications/customer service skills and problem-solving abilities
Multiskilled with the ability to appropriately handle complexity and stress with changing needs of the patients, families, visitors, clinic staff and the health system
Must be able to see and read printed data and computer screens
Manual dexterity, visual and auditory acuity to collect information
Verbal communication skills
Ability to lift, stoop, bend, kneel, and reach
