Job Summary:

Performs receptionist and clerical duties. Specific responsibilities include: 1) meet and greet patients, families, visitors, guests, staff in person or by the phone and provide directions as needed, 2) register, schedule appointments and provide assistance as needed, 3) perform departmental clerical duties which include data management, as well as the check in/check out process for specialty services

Job Duties:

  • Make eye contact and promptly acknowledge the presence of patients, families, visitors, guests. Provide a welcoming, comfortable, safe and secure environment. Provide prompt and accurate information in a professional and private manner ensuring all privacy and HIPAA guidelines are maintained. Provide concise and accurate directions to assist guests. Personally escort guests to appropriate desk, waiting area or elevator providing wheelchair assistance if needed. Notifies the team of patient’s and/or guest’s arrival.  Monitors waiting area and ensures patients and/or guests are kept informed.
  • Manages multiple phone lines, takes messages, screens calls, receives information and transfers calls to the appropriate extension.  Relays messages to appropriate staff in order to facilitate communication and assure quality care.
  • Responsible for scheduling appointments and meetings and entering all appropriate data into the database (electronic medical records in some departments). May support the check in and check out processes for the clinical services, and assist patients with forms obtaining all necessary insurance information and signatures if in an applicable department.
  • Assists with various departmental clerical duties which can be accomplished at the receptionist desk. Duties may include: data entry, typing, scanning and data management.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

Education, Credentials, Licenses:

High School Diploma or GED

Specialized Knowledge:

Good interpersonal communication skills (written and oral)

Good problem-solving skills

General clerical skills including the ability to organize time and tasks

Data management skills

Exemplifies high standard of customer service

Kind and Length of Experience: 

Experience working independently, using Microsoft office, experience with medical terminology, telephone communication, the ability to manage multiple lines/voicemail, and accurate typing.
