Position Overview
The Scheduling Auditor plays a key role in ensuring the accuracy, efficiency, and compliance of appointment scheduling practices across West Cancer Center. This position evaluates scheduling workflows to ensure alignment with organizational standards, regulatory requirements, and patient access goals. The Scheduling Auditor collaborates with site managers, supervisors, and department leaders to identify trends, implement process improvements, and enhance both operational performance and patient experience.

Key Responsibilities

  • Conduct regular audits of scheduled appointments to ensure accuracy in provider, location, service type, and insurance details.
  • Review scheduling workflows for compliance with organizational policies, payer guidelines, and regulatory standards.
  • Identify and report scheduling errors, inconsistencies, and process improvement opportunities.
  • Collaborate with schedulers, supervisors, and department leaders to resolve discrepancies and implement corrective actions.
  • Develop and maintain audit tools, checklists, and standardized reporting templates.
  • Track and report audit findings, highlighting trends, risks, and performance metrics for leadership.
  • Provide training and education to scheduling staff based on audit findings and best practices.
  • Participate in system upgrades, workflow redesigns, and policy development initiatives related to scheduling.
  • Support efforts to improve patient access, reduce no-show rates, and optimize provider schedules.
  • Maintain visit lists to ensure providers complete notes and documentation in a timely manner.
  • Monitor scheduling reports to proactively address obstacles and ensure timely scheduling of orders.
  • Identify inefficiencies in infusion scheduling and collaborate with staff to reduce wait times and delays.
  • Track external referral appointments to completion and collaborate with Medical Records to ensure all new patient records are properly obtained, entered, and indexed.
  • Assist PAS Managers by reviewing provider clinic schedules and scrubbing future appointments to prevent last-minute cancellations.

Qualifications

Education & Experience

  • Required:
    • High school diploma or equivalent.
    • Minimum of two (2) years of experience in healthcare scheduling, patient access, or auditing.
  • Preferred:
    • Associate or bachelor’s degree in healthcare administration, business, or related field.

Skills & Abilities

  • Required:
    • Strong understanding of healthcare scheduling systems (e.g., Epic, Cerner, OncoEMR, Meditech).
    • Knowledge of insurance verification, authorization requirements, and referral processes.
    • Excellent attention to detail, analytical skills, and ability to interpret data.
    • Strong organizational, communication, and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and reporting tools.
  • Preferred:
    • Experience with Epic Cadence or similar scheduling platforms.
    • Familiarity with HIPAA regulations and healthcare compliance standards.
    • Ability to work independently and manage multiple priorities.
    • Experience in training or coaching staff.
