Our newly-embedded Salesforce team plays an incredibly important role in enabling high impact marketing activities, managing our sales pipelines, and understanding our key relationships.  They continually build out business processes on the platform, take advantage of much more of its capabilities and ensure the platform is sustainable for years to come.

Together the teams deliver, continually innovate on, and maintain, the technology that enables our commercial and teaching teams to provide the class leading service and responsiveness that Kaplan International Pathways is highly recognised for.  

The Role

We’re looking for a detail-oriented and experienced Salesforce Administrator to join our growing Salesforce team and drive the effective implementation and utilisation of our Salesforce CRM platform.  

The Salesforce Administrator will manage the day-to-day configuration, support, maintenance, and improvement of our Salesforce platform. You will work closely with various departments to ensure that Salesforce meets the company’s evolving business needs and supports operational processes efficiently.

The role will report into the Pathways CRM Platform Lead.  This role will involve working closely with the Pathways departments such as Student Recruitment and Marketing, Admissions, Conversion, Finance, and Solution Architecture, to drive value from the Salesforce platform to meet business CRM strategy needs and supports the company's strategic objectives.

This is a hybrid based role within commutable distance to a Kaplan Office within Bengaluru, India. The office address is Kaplan India, #27, Sattva Auro, Church Street, Bengaluru- 560001

Responsibilities

Salesforce Management:

  • Maintain and customize the Salesforce platform, including creating custom fields, objects, workflows, validation rules, and page layouts.

  • Manage user setup, profiles, roles, and permissions to ensure appropriate access control.

  • Regularly perform data integrity checks and ensure the cleanliness of Salesforce data through deduplication, validation rules, and data management strategies.

User Support and Training:

  • Provide day-to-day support to Salesforce users by troubleshooting issues and resolving technical questions.

  • Develop and deliver training materials to help end users understand and leverage Salesforce features effectively.

  • Gather user feedback and implement enhancements to improve overall system usability.

Automation and Process Optimization:

  • Design and implement automation tools such as Workflows, Process Builder, and Flows to streamline business processes.

  • Identify opportunities for automation, improvement, and optimization to enhance productivity.

  • Ensure timely and accurate execution of automated processes, approval processes, and escalation rules.

Reports and Dashboards:

  • Create and maintain advanced reports and dashboards to provide key metrics and insights for business stakeholders.

  • Analyse and interpret Salesforce data to support decision-making across sales, marketing, and customer service departments.

  • Develop custom report types and ensure accurate tracking of performance indicators.

Platform Maintenance and Upgrades:

  • Stay up to date with Salesforce releases and proactively assess new features, implementing those that benefit the business.

  • Conduct regular system audits to ensure data integrity and optimal platform performance.

  • Monitor system usage and storage limits to avoid disruptions or performance degradation.

Integration and Data Management:

  • Assist with the integration of third-party applications and ensure smooth data flow between Salesforce and other systems.

  • Import and export data as needed using tools like Data Loader or other data management tools.

  • Ensure compliance with data security standards and data protection regulations.

Collaboration with Stakeholders:

  • Collaborate with business leaders, product managers, and IT teams to understand business needs and translate them into Salesforce solutions.

  • Gather and document business requirements for new Salesforce features or improvements.

  • Act as a liaison between stakeholders and technical teams, ensuring effective communication and prioritization of requests.

Your skills and experience

Required

  • Proficiency in English (both written and spoken) as this is the working language within the Pathways

  • Proven experience as a Salesforce Administrator or similar role 

  • Salesforce Administrator (ADM 201) certification is required.

  • Strong knowledge of Salesforce products, such as Sales Cloud, Service Cloud, and Marketing Cloud.

  • Hands-on experience with Salesforce configuration tools (custom objects, fields, workflows, process automation, etc.).

  • Proficient in creating reports, dashboards, and managing data imports/exports.

  • Familiarity with AppExchange apps and third-party integrations.

  • Understanding of Salesforce security, including profiles, roles, and sharing rules.

  • Strong analytical and problem-solving skills.

  • Excellent communication skills, both written and verbal.

  • Ability to manage multiple tasks and projects efficiently.

  • Strong attention to detail and ability to work independently or in a team.

Additional tools you should have familiarity with would include:

  • Atlassian JIRA & Confluence 

  • Slack

  • Microsoft Office Suite (MS Teams, Outlook, Excel, Word, Powerpoint)

Desirable

  • Additional Salesforce certifications e.g. Advanced Administrator, Platform App Builder, Developer Basics

  • A bachelor’s degree in Information Systems, Business Administration, or a related field is preferred.

  • Familiarity with data protection regulations and compliance standards.

  • Awareness of test automation tools such as Provar would be of benefit.

  • Basic exposure to APEX Code
