Job Title: Sales Operation Analyst – Specialty Pharmacy & Health Systems

Reports To: Sales Administration Supervisor
Location: Lake Mary, FL (Hybrid 3 days in office required)

Job Summary

The Sales Operation Analyst supports the Specialty Pharmacy (SP) and Health Systems sales segments by providing accurate, timely, and compliant operational support. This role serves as a key liaison between Sales, internal operational teams, and external customers to ensure seamless order execution, onboarding, account maintenance, and issue resolution.

The ideal candidate demonstrates strong attention to detail, process discipline, and the ability to manage multiple priorities in a fast‑paced, highly regulated environment while maintaining a strong customer‑centric focus.

Primary Responsibilities

  • Process and manage sales orders and customer inquiries for Specialty Pharmacy and Health Systems accounts with a high degree of accuracy and urgency.
  • Maintain and update required sales and operational trackers daily, ensuring clear documentation of status, actions taken, and next steps.
  • Support onboarding of new Specialty Pharmacy and Health Systems sites, including validation of required documentation and tracking onboarding milestones through completion.
  • Perform account maintenance activities such as state licensure tracking, address changes, additional location requests, and site updates.
  • Prepare and distribute daily sales and order status reports, including open orders, prioritized accounts, and identified risks.
  • Coordinate credit and rebill requests, working closely with Accounts Receivable, Sales, and other internal partners to ensure timely resolution.
  • Monitor open orders, shipping delays, and holds; proactively escalate risks or service issues to minimize customer impact.
  • Provide enhanced support for designated VIP, strategic, and high‑volume SP and Health Systems customers.
  • Collaborate cross‑functionally with Sales, Pricing, Contracts, Credit, Finance, IT, and Customer Service to support operational excellence.
  • Follow established standard operating procedures, audit requirements, and compliance guidelines to ensure data integrity and pricing accuracy.

Required Qualifications

  • High school diploma or equivalent required; Bachelor’s degree preferred.
  • Minimum of 2 years of experience in sales administration, order management, operations, or a related role.
  • Strong attention to detail with the ability to manage multiple priorities and deadlines.
  • Demonstrated experience working with sales trackers, order management systems, and reporting tools.
  • Proficiency in Microsoft Excel, Outlook, and collaboration platforms.
  • Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.

Preferred Qualifications

  • Experience supporting Specialty Pharmacy and/or Health Systems sales segments.
  • Experience in a healthcare, pharmaceutical, or highly regulated environment.
  • Familiarity with pricing accuracy, audit processes, and compliance‑driven workflows.
  • Experience supporting VIP or strategic customer segments.
