We are looking for an organized and proactive Sales Coordinator/Assistant to support our Sales and BD team in Hong Kong in achieving their goals. The ideal candidate will be detail-oriented, customer-focused, and able to thrive in a fast-paced environment. You will play a critical role in coordinating sales activities, supporting media planning, and ensuring seamless communication between Sales and our internal teams (Account Management, Trading, and DnA and other cross function teams).

Based in Hong Kong, this position offers the opportunity to work alongside talented senior managers and directors. 

What you’ll do

Sales Support & Media Planning

  • Assist the Sales and BD team with daily tasks, including coordination of client meetings, events, media planning, and preparing sales reports.
  • Support the preparation and coordination of client presentations, proposals, and contracts.
  • Respond to client and agency inquiries promptly, ensuring exceptional service and accurate information delivery.
  • Work closely with Sales, Account Management, Traders, DnA team to turn briefs into media plans that are commercially sound and suitable for the Hong Kong market.
  • Track sales opportunities in the pipeline and support follow-ups to open new business with direct clients and agencies together with the Business Development Director in HK.

Market & Solution Development

  • Explore and work with Sales and Product teams to develop and localize solutions for the Hong Kong market, including packaging, positioning and go-to-market materials.
  • Gather feedback from clients, agencies, and internal teams to refine MiQ solutions so they better fit local needs and KPIs.

Data Management & Reporting

  • Maintain and update customer and pipeline databases, ensuring accurate and up-to-date information.
  • Track sales and campaign metrics and generate regular reports to support the team in identifying trends and opportunities.

Communication & Coordination

  • Act as a liaison between the Sales team and internal departments (Account Management, Trading, DnA, Marketing) to ensure smooth workflows and timely execution of deliverables.
  • Coordinate follow-ups with clients on behalf of the Sales team to nurture relationships and support business development efforts.
  • Manage internal communications related to sales initiatives and updates.

Process Improvement

  • Identify opportunities to streamline sales and pre-sales processes and recommend improvements to enhance team efficiency.
  • Ensure compliance with company policies and procedures related to sales operations.

What you will need

  1. Experience & Industry Knowledge
    • 3+ years of working experience in digital/media, ideally in a media planning or sales support role (agency or publisher/ad-tech).
    • Practical media planning experience across digital channels (e.g. display, video, social) and familiarity with typical KPIs and benchmarks.
    • Knowledge of programmatic advertising and major platforms (e.g. DV360, The Trade Desk, or similar DSPs, and adtech tools).
  2. Sales & Customer Support
    • Ability to support the sales team with reports, lead management, and follow-ups.
    • Strong customer service skills to handle client and agency inquiries.
    • Proactive approach to resolving customer or internal team issues.
  3. Organization & Time Management
    • Excellent time management and ability to multitask across multiple briefs and stakeholders.
    • Strong organizational skills and attention to detail.
    • Ability to coordinate meetings, timelines, and internal reviews.
  4. Communication & Teamwork
    • Fluent in English and Cantonese (spoken and written); Mandarin is a plus.
    • Excellent verbal and written communication skills, with confidence to liaise with both clients and internal technical teams.
    • Ability to work independently and as part of a cross-functional team.
  5. Proactiveness & Problem-Solving
    • Takes ownership of tasks and looks for ways to improve processes.
    • If workload is light, proactively seeks opportunities to support the sales team and enhance efficiency.
    • Ability to handle unexpected challenges in a fast-paced environment.
    • Flexibility to adapt to changing sales strategies, products, and market needs.
