Job Description
Overview:
The Sales Administrator is a key contributor to the success of the On Site Sales team, serving as the primary point of contact in the main office for all purchaser inquiries throughout the homebuying journey. This role is responsible for the full administration and coordination of day‑to‑day sales activities for single‑family, and semi‑detached homes, including processing, tracking, inventory management, pricing, releases, and closing documentation. The Sales Administrator plays an active role in delivering an exceptional customer experience by setting, managing, and supporting homebuyer expectations from purchase through possession. Work on-site in the Sales Offices, with the ability to commute within the Barrie communities
Hours: Part- Time
Monday to Wednesday, 1:00 PM to 7:00 PM
Saturday, Sunday, and Holidays: 11:00 AM to 5:00 PM
Key Responsibilities:
The expected hourly rate range for this position is $25.00 + bonus commission after 6 month time frame.
Process and manage all purchase agreements, amendments, and deposits for single‑family homes
Prepare accurate correspondence for purchasers, lawyers, lenders, and realtors
Maintain and update sales data across CRM systems
Liaise with lenders, lawyers, and mortgage partners to support smooth transactions
Prepare daily bank deposits and provide accurate financial information to Head Office
Generate and distribute weekly sales reports, inventory updates, and builder activity summaries
Support Sales Managers and Sales Representatives with administrative and operational needs
Maintain organized sales filing systems
Assist with pricing uploads and monthly builder reporting
Track weekly traffic numbers and maintain current builder information
Manage realtor commission forms, referral forms and home gift basket orders
Ensure the presentation centre, model homes and inventory homes are presented professionally
Maintain a comprehensive report with competitive offerings within the new home and resale market
Manage marketing material inventory and electronic marketing accuracy including touchscreens, site plan table, and website
This is a new role/ addition to the team.
What You'll Bring:
High school diploma with 1 to 3 years of experience in office administration, customer service, or a related role
Proficiency in Word, Excel, and Outlook
Experience working with databases
Strong organizational skills and exceptional attention to detail
Demonstrated accuracy in administrative work
Ability to work independently in a fast‑paced environment
Excellent task prioritization and time‑management abilities
