Purpose of the Role
The Sales Administration team supports the operational and administrative functions that keep the Sales organization running smoothly. This role ensures consistency, accuracy, and timeliness across client onboarding, order fulfillment, communication, compliance, and internal coordination—ultimately reducing client friction and elevating service quality.

Sales Administrators support all assigned Sales segments, including:
Health Systems
Specialty Pharmacy
AIC
Physician Engagement
National Accounts
This support must reflect consistent excellence, accuracy, and attention to detail.
Core Responsibilities
Order & Onboarding Operations
Order Fulfillment: Process and manage orders accurately and in a timely manner.
New Site Onboarding: Coordinate documentation; ensure completion, accuracy, and proper submission; and track onboarding milestones using the Sales Tracker.
Documentation Review: Validate declaration forms, controlled substance documents, and all required onboarding materials for accuracy and compliance.
Credential Validation: Confirm and document regulatory requirements, including state licenses, DEA status, and practitioner credentials.
Tracker Management: Upload documents, update client status, and maintain accurate, current records in internal systems.
Communication & Coordination
Serve as a liaison between internal teams (Sales, Contracting, Membership, Pricing, Warehouse) and external customers.
Manage shared mailboxes and respond promptly to inquiries.
Copy assigned Sales Representatives on relevant client communications.
Support inbound and outbound client calls with professionalism and accuracy.
Financial & Pricing Support
Process credits and RGA requests, coordinating with related departments to ensure timely resolution.
Submit CRRB (pricing or membership corrections) to appropriate teams and monitor progress through completion.
Compliance & Quality Assurance
Assist in internal audits by ensuring files are accurate, organized, and compliant.
Maintain adherence to regulatory and documentation standards.
Cross-Functional Collaboration
Partner with warehouse, dropship, and materials management teams to support fulfillment and issue resolution.
Participate in Sales segment meetings, client calls, and Sales training sessions to remain aligned and informed.
Special Projects & Escalations
Support new initiatives or special projects as assigned.
Identify operational issues early, escalate to the supervisor, and collaborate to resolve items quickly and effectively.
