About the role
DS Smith Logistics is seeking a highly organised and detail‑driven Safety, Fleet & Training Administrator to support our Fleet & Compliance, Health, Safety & Environment (HS&E), and Driver Training activities. The role will be based at our Kemsley site.
This is a varied and business‑critical administrative role, requiring excellent time management and the ability to manage competing priorities. You will work closely with the Fleet, Compliance & HS&E Manager, Driver Training Manager, depot teams, and external stakeholders to ensure legal compliance, accurate record‑keeping, and effective communication across the business.
Key Responsibilities
Fleet & Compliance
Maintain accurate fleet asset records in line with legislative and Operator Licence requirements
Administer vehicle defects, damage repairs and recharge processes
Manage vehicle and trailer data for assets entering and exiting the business
Record and report vehicle accidents and damage
Produce timely fleet reports and liaise with internal teams, suppliers and industry bodies
Arrange external training courses as required
Driver Training
Support DVSA CPC submissions, centre audits and internal/external compliance audits
Maintain accurate training, induction and licence records for all drivers (including agency)
Produce and circulate monthly Driver Training reports
Update electronic licence checking systems and weekly training records
Support training invoicing and maintain Driver Trainer programmes and assessor refresher records
Health, Safety & Environmental (HS&E)
Provide administrative support for HS&E activities across the business
Maintain accurate HS&E records, systems and compliance documentation
Prepare and distribute HS&E updates, briefings and performance data
Support audits and manage key HS&E calendars and compliance deadlines
Escalate serious HS&E matters to management
Commendation & General Support
Communicate clearly with stakeholders at all levels
Analyse data to support reporting, insights and cost efficiencies
Support ad hoc projects, continuous improvement and other duties as required
About you
We are looking for a highly organised and proactive administrator with strong attention to detail and the ability to manage multiple priorities in a fast‑paced, regulated environment. You’ll be confident working with data, producing accurate reports, and communicating effectively with stakeholders at all levels of the business. A collaborative approach, combined with the ability to work independently and use initiative, will be key to succeeding in this role.
Essential requirements
GCSEs or A‑Levels (or equivalent); an administration qualification is desirable
3 - 5 years’ experience in a similar administrative role
Strong IT skills, particularly in Excel and PowerPoint, including formulas, data analysis and reporting
Excellent organisational skills with strong attention to detail
Ability to analyse data and produce accurate, professional reports
Strong written, verbal and presentational communication skills
Ability to manage competing priorities and work independently using initiative
Must have a full Drivers Licence
Desirable
Experience within transport and logistics or another regulated environment
Knowledge of fleet compliance, driver training or HS&E administration
