Operations Specialist, Digital

As a Risk, Tools, & Compliance Analyst at Cengage, you will be an instrumental part of our team, driving operational excellence across our technology programs. This role is outstanding as it focuses on governance, compliance, and tooling, all crucial elements for ensuring smooth and efficient processes. You will partner with Technology Program Management, Procurement, and planning teams to deliver ambitious and streamlined operations.  

Your work will directly support key initiatives such as centralized onboarding/offboarding, accurate data tracking, and effective reporting.

Additionally, you will coordinate SOW/PO processing, data retention compliance, and the development of operational dashboards. You will also be responsible for reporting on PPM/Agile tools and assisting with the rollout of IT Time Reporting. This position requires strong analytical skills, attention to detail, and expertise in Smartsheet for workflow automation and reporting.   

Your primary responsibilities:

Financial & Procurement Operations

  • Coordinate the end-to-end SOW/PO processing for technology initiatives, ensuring all requests are managed accurately and reported on precisely.

  • Collaborate with budget owners and finance to track spending against budgets, providing regular updates and highlighting potential variances.

  • Maintain accurate POM Rostering and prioritization data, supporting financial transparency and strategic decision-making.

  • Ensure financial data is reliable and timely, enabling leadership to make data-driven decisions.  

Resource Management & Rostering

  • Coordinate the centralized onboarding/offboarding hub for Digital contractors and employees.

  • Track and maintain compliance with the Data Retention Policy and attestation processes.

  • Collaborate with Digital leads to track resource allocations and provide access to team composition and staffing plans.  

Operational Governance & Support

  • Champion and implement governance standards across operational workflows, ensuring alignment with our company's operating model.

  • Develop and maintain Technology Operational Dashboards for leadership visibility.

  • Manage reporting for PPM/Agile tools (e.g., Jira, Rally, or equivalent) while supporting the deployment and acceptance of IT Time Reporting processes and tools.

  • Leverage Smartsheet to automate workflows, track progress, and generate reports.  

Who you are:

  • An experienced professional with 3–7 years in operations, compliance, PMO, or technology governance roles.

  • Advanced proficiency in Smartsheet, with skills in workflow automation, dashboards, and reporting.

  • Experience with PPM/Agile platforms and IT operational procedures.

  • Strong analytical and organizational skills, with a proactive approach and outstanding attention to detail.

  • Excellent communication skills, capable of cross-functional collaboration.

  • Comfortable working in a fast-paced environment with evolving priorities.  

Preferred qualifications:

  • Experience supporting technology or software development organizations.

  • Experience in centralized onboarding/offboarding and monitoring compliance.

  • Experience with IT Time Reporting systems and the deployment process.

  • Ability to work across global teams and time zones.

The full base pay range has been provided for this position. Individual base pay will vary based on work schedule, qualifications, experience, internal equity, and geographic location.  Sales roles often incorporate a significant incentive compensation program beyond this base pay range.

In this position,  you will be eligible to participate in the company’s discretionary incentive bonus program.  This position's bonus target amount, which is not guaranteed and is dependent on individual performance and overall company results among other factors, is provided below.
