RFE & Controls Technology Coordinator

Key Responsibilities:

1. Project Initiation & Kick-Off Coordination

·         Organize and facilitate RFE kick-off meetings with Service Sales and Engineering teams.

·         Determine the appropriate level of formality based on the complexity of the request (e.g., full meeting vs. technical inquiry).

·         Ensure all stakeholders are aligned on project scope, objectives, and deliverables.

2. Equipment & Application Review

·         Collect and verify unit details including model, serial numbers, job name/number, and line number.

·         Document the requested changes, application type, and installation environment to ensure compatibility and performance.

·         Maintain and complete the RFE checklist to ensure all required data is captured for factory processing.

3. Cross-Functional Liaison

·         Act as the central point of contact between Service Sales and internal departments (Engineering, Manufacturing, Scheduling, etc.).

·         Ensure timely and accurate information flow without direct communication with end customers (handled by Service Sales).

4. Obsolescence Management

·         Coordinate the identification and replacement of obsolete parts.

·         Document part numbers, last manufacture dates, and reasons for obsolescence.

·         Communicate replacement options, retrofit needs, and system impacts, as determined by Engineering.

5. Bill of Materials (BOM) Oversight

·         Work with Engineering to ensure BOM is finished and packaged for the customer.

·         Coordinate with Procurement to ensure critical components (e.g., compressors, fans, sensors) are accurately sourced and documented.

6. Controls & Integration Support

·         Collaborate with Controls Engineering to gather documentation for PLCs, HMIs, sensors, and communication protocols.

·         Package and deliver finalized documentation to Service Sales/Project Managers.

7. Regulatory & Compliance Assurance

·         Confirm with Engineering that all compliance requirements (UL, CE, ASHRAE, refrigerant regulations, etc.) are fulfilled.

·         Ensure all technical documentation, certifications, and manuals are updated accordingly.

8. Engineering Change Management

·         Track and communicate design revisions, schematic updates, and validation requirements.

·         Coordinate testing, technician training, and service bulletin creation as needed.

9. Cost & Schedule Coordination

·         Assist in compiling cost estimates for engineering hours, materials, and tooling.

·         Monitor project timelines from design through production and rollout.

10. Stakeholder Communication

·         Facilitate communication across internal teams: Mechanical, Electrical, Controls, Procurement, Manufacturing, and Scheduling.

·         Ensure external communication is routed through the appropriate channels (e.g., Service Sales for customers, Procurement for suppliers).

11. DCSI Coordination

·         Process Engineer & Technician time for site travel.

·         Attend planning meetings for IST and Pre-IST needs for the team.

·         Work with the Senior Field Technician to determine what resources are available and where needed.

Job Qualifications:

 The Request for Engineering (RFE) Coordinator role is focused on managing engineering change requests, coordinating cross-functional input, and ensuring timely and accurate documentation and communication.

Minimum Qualifications for RFE Coordinator Education

·         Associate or bachelor’s degree in engineering, Engineering Technology, Business Administration, or a related field.

·         Coursework or certification in project management or technical documentation.

Technical & Process Knowledge

·         Familiarity with HVAC systems or industrial equipment (basic understanding)

·         Knowledge of engineering change processes (RFE, ECN, ECR)

·         Experience with Bill of Materials (BOM) and part lifecycle management

·         Understanding of product development and manufacturing workflows

Systems & Tools

·         Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)

·         Experience with ERP systems (e.g., SAP, Oracle) and PLM tools (e.g., Windchill, Teamcenter)

·         Ability to read and interpret engineering drawings and specifications

·         Experience with document control systems and version tracking

Project Coordination Skills

·         Strong organizational and time management skills

·         Ability to track multiple RFEs and follow up with stakeholders

·         Skilled in preparing reports, summaries, and presentations

·         Attention to detail in reviewing technical documentation

Communication & Collaboration

·         Effective written and verbal communication skills

·         Ability to work with cross-functional teams (engineering, procurement, manufacturing, quality)

·         Comfortable facilitating meetings and coordinating feedback

Other Requirements

·         Legal authorization to work in the country of employment

·         Willingness to learn technical concepts and systems

·         Experience in a regulated industry (e.g., HVAC, automotive, aerospace)
