AAA Club Alliance is looking for a full-time Retail Tag and Title Administrator to join our team in King of Prussia, PA! If you enjoy staying organized, supporting day-to-day operations, and being part of a collaborative team, this could be a great fit!
This role requires on-site work Monday through Friday.
The primary duties of the Tag and Title Administrator are to:
Maintain knowledge of state contractual and audit requirements to uphold compliance. Serve as a business line expert to advise and guide associates in completing state specific transactions, processing procedures and regulations.
Maintain the proficiency to process all types of Tag & Title transactions within assigned state.
Maintain quality client relationships by serving as a point of contact for assigned commercial accounts. Process commercial account transactions within contract guidelines, reviews documents, invoice preparation and timely output disbursement. Manage record keeping and maintain complete and accurate copies of transactions. Provide phone support to client’s staff. Communicate processing issues to Manager.
Responsible for Accounting functions for retail store locations within assigned state; inputting ad-hoc check requests, balancing work to state cash drawer and requesting EFT, reconciling P-card transactions and reconciling commercial account transactions.
Protect customers’ confidentiality and privacy in accordance with AAA Club Alliance and state specific regulatory requirements. Stay current on state laws relating to Motor Vehicle Code governing license, title and registration. Legitimately access state and vendor computer systems and accurately enter information and process applications.
Monitor retail stores’ compliance for completion of monthly verification of state issued inventory. May monitor and order state inventory for retail stores.
Review, track and monitor retail stores’ completed applications for accuracy to maintain less than 2% error rate.
In absence of the Program Administrator, messenger work for retail store clients to state specific Motor Vehicle Office for processing, then review, record and disburse output. Timely and accurate submission of all title work to state agency within state mandated time frame.
As directed by Tag & Title Business Manager, proctor virtual trainings for associates.
Professionally and accurately respond to client internet inquiries.
Assist with incoming and outbound calls from prospective client. Provide administrative support for Tag & Title Business Manager.
Other duties as assigned.
Minimum Qualifications:
High school diploma or equivalent; Associate degree preferred.
2-4 years in an administrative or customer service role, and 3 years of related state specific department of motor vehicle business-like experience preferred.
Must maintain a satisfactory criminal history and meet all state specific legal requirements for this job.
Maintain state specific certifications and successfully complete exams within state specified time frame.
Notary Public designation preferred or the ability to obtain a Notary Public designation [PA Only].
Ability to work autonomously in a multifaceted team environment while being detail oriented and organized with ability to prioritize tasks.
Ability to learn, retain and communicate State specific Vehicle Code Regulations pertaining to Vehicle and/or Driver License applications required to complete client transactions.
Ability to complete all departmental trainings and workshops.
Excellent customer service and communication skills [oral, written and listening] to enable accurate completion of assignments, proper handling of complex transactions and constructive interaction with others.
Proficient in the use of Microsoft Office, Word, Excel, Internet and competent keyboarding skills to accurately and efficiently complete daily work assignments.
Willingness and ability to travel as needed.
