About the Job

Manage the day-to-day operations of our facilities and ensure a safe, efficient, and well-maintained environment. This position plays a critical role in supporting the facilities team, coordinating maintenance schedules, handling vendor relationships, and ensuring that all building systems and equipment operate smoothly.

Key Responsibilities

Facility Maintenance & Repairs:

Coordinate with external vendor to schedule routine maintenance, repairs, and upgrades for the building, including HVAC, plumbing, electrical, and other essential systems. Ensure all work is completed in a timely manner. Support store openings including new, refits, relocations & closures. Coordinate with internal partners e.g. Real Estate, IT etc and manage the set up with external vendors and suppliers.

Vendor Management:

Serve as the point of contact for our external service provider. Assist with preparing Vendor Creation, Purchase Orders, Goods Receipt and Invoice Management.

Health and Safety Compliance:

Ensure the facility complies with all relevant health and safety regulations, including conducting safety audits, managing emergency procedures, and providing staff with necessary safety information and training.

Troubleshooting & Issue Resolution:

Respond promptly to facility-related issues reported by employees, troubleshooting problems and finding solutions efficiently. This includes resolving heating, cooling, lighting, or other operational concerns.

Administrative Support:

Maintain accurate records of maintenance activities, work orders, inventory, asset registers and other related documentation. Prepare reports as required by management.

Budget Management Support:

Assist the Facilities Manager in preparing and managing the facilities budget, tracking expenses, and identifying cost-saving opportunities.

Basic Qualifications

  • High school diploma or equivalent required. A degree or certification in facilities management, business administration, or a related field is a plus.

Skills & Abilities:

  • Must speak multi languages e.g. French, Italian, Spanish, German

  • Strong organizational and time-management skills.

  • Ability to multitask and prioritize tasks effectively.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Knowledge of building systems and maintenance procedures is a plus.

  • Ability to troubleshoot basic maintenance issues.

Experience:

Minimum of 2-3 years of experience in facilities management, office administration, or a similar role.

This is a hybrid position based in our Warsaw office. You will be expected to be in the office three days per week, though time in office may vary depending on business needs.

The expected starting salary range for this role is PLN 91,400.00 - PLN 121,800.00 per year. The amount an employee will earn within the salary range will be based on factors such as relevant education, qualifications, performance, and our needs. Salary ranges may vary by location and currency. Where roles are advertised across multiple locations, local ranges will apply.
