TRIUMF’s student program typically hires ~40 students each term from across all disciplines who hang together socially and professionally during the term, and beyond. Our program offers young minds a chance to gather, learn, make new friends, and have fun doing so during their time at TRIUMF. We hold weekly ProD sessions for students which include different activities such as conflict resolution, emotional intelligence, critical thinking, and active listening. Additionally, we hold weekly seminars about the different experiments at TRIUMF, and these talks specifically cater to students. Located on the UBC campus makes it easier for students to make friends, create memories, and explore Vancouver all while working at TRIUMF.

**This position is for Canadian Citizens / Permanent Residents, and currently enrolled in a Canadian post-secondary education institution**

Basic Function

This position is responsible for assisting the Research Services Office (RSO) with organizational and administrative tasks related to record-keeping systems for TRIUMF’s: a) research and commercialization agreements, b) funding applications and outcomes, and c) patent portfolio.

Responsibilities

Grant Administration Tasks

  • Confirm and correct the accuracy of information in TRIUMF’s agreements database.
  • Confirm and correct the accuracy of information in TRIUMF’s grants/funding applications database.
  • Cross-reference digitals records across online platforms (e.g.: Sharepoint, Docushare). Ensure all agreements and funding applications are saved to TRIUMF’s content management system (Docushare).
  • Contribute to the identification and evaluation of an online platform for research services (grants, agreements, trade)
  • Update the ORS website by editing existing content and writing new content/ Cross-referencing with websites of other ORSs
  • Enhance the ORS website content with new sections featuring successful funding proposals/ grants toolkit/ grants calendar
  • Archive all grants-related data and information (i.e., grants e-mails, folders, files, agreements)
  • Assist in developing a dynamic "grants writing toolkit" to guide TRIUMF researchers in crafting grant applications

Contracts Administration Tasks

  • Docketing files into the RSO internal database and TRIUMF DocuShare
  • Preparing execution copies of contracts/Formatting contracts and documens into signing version in Word or PDF
  • Routing documents through the DocuSign/internal signature process
  • Assist with creating/updating a user-friendly section of the ORS website with content such as a process map/intake questionnaire for Legal/Contracts review
  • Assist with cleaning up/updating existing agreement templates in the ORS database (i.e. removing duplicate copies/identify the most recent version of template and identify which sections need to be updated by Legal)

General Admin Tasks 

  • Trade Compliance and Research Security
  • Enhance the ORS website content with new sections featuring updated information for Trade Compliance and Research Security
  • Assist with due diligence checks and preparing related reports regarding research security issues
  • Assist with clearing exports prior to shipment, as needed
     

Qualifications

This position is open to post-secondary students from any field of study.

Required skills and abilities include:

  • Organizational skills: ability to employ a systematic approach to work.
  • Detail-oriented with ability to process information with high level of accuracy.
  • Self learner: ability to identify areas of improvement in relation to record-keeping systems.
  • Excellent written communication skills: ability to communicate with TRIUMF staff effectively and professionally.

This position is for Canadian Citizens or PR, and currently enrolled in school.

Learning Outcomes

  • Understanding of the function of a Research Administration office in academic research.
  • Understanding of the various types of legal agreements and contracts used in research.
  • Understanding of the patent filing and approval processes.
  • Experience in survey development.

Salary is commensurate with academic progress and previous relevant work experience, and ranges from $ 2815 to $ 4238 per month including 4% vacation pay.
