The Rehab Office Assistant is responsible for scheduling all outpatient appointments, entering and maintaining all scheduling information, and various clerical duties in Rehabilitation Services, such as greeting and directing patients, answering telephones, completing forms, patient registration, and maintaining the Rehab waiting lists. A Brief Overview
The Rehab Office Assistant is responsible for scheduling all outpatient appointments, entering and maintaining all scheduling information, and various clerical duties in Rehabilitation Services, such as greeting and directing patients, answering telephones, completing forms, patient registration, and maintaining the Rehab waiting lists. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.

What you will do
  • As initial patient liaison, coordinates all outpatient therapy appointments via telephone communications and direct patient contact.
  • Reviews and maintains patient care information.
  • Completes patients’ medical and/or insurance file and distributes files as specified in departmental policies and procedures.
  • Answers telephone and directs calls, takes messages or provides requesting physician/provider with reports as directed by therapists.
  • Performs other job functions as assigned or requested.

Education/Formal Training Requirements

Work Experience Requirements
  • 1-3 years Insurance verifications or authorizations
  • 1-3 years Registration
  • 1-3 years Scheduling

Knowledge, Skills and Abilities
  • Knowledge of outpatient office procedures and practices commensurate with experience.
  • Knowledge of basic computer skills acquired either through work experience or education.
  • Knowledge of basic medical terminology preferred.
  • Ability to type (35 w.p.m.)
  • Ability to read, write, and communicate, both written and orally, with other individuals in a friendly customer-focused manner.
  • Ability to perform basic arithmetic calculations commensurate with education/experience.
  • Ability to read and follow written instructions.
  • Ability to understand and prepare moderately complex written materials.
  • Ability to work without close supervision and to exercise independent judgment.
  • Ability to work in a fast-paced and often stressful environment.
  • Ability to organize multiple tasks and projects and maintains control of workflow.
  • Ability to deal with difficult patients and situations in a helpful, friendly manner.
  • Ability to evaluate and handle problematic situations.
  • Ability to operate and monitor computer equipment including various software programs and other business office equipment.
  • Ability to maintain working relationships with co-workers and other departments.

Supervision Provided by this Position
  • There are no supervisory or lead responsibilities assigned to this job.

Physical Demands
  • The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • The physical requirements of this position are: light work- exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
  • The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
