Job Description:

The Regional Manager is responsible for day-to-day operational oversight of multiple Radiation Oncology clinic locations within a defined geographic area. This role ensures consistent, high-quality patient care, efficient workflows, and strong staff support across all assigned sites. The Regional Manager maintains a regular on-site presence across locations based on operational needs. This position provides hands-on leadership, staff oversight, training, and development while supporting and adhering to Tennessee Oncology’s mission, vision, and values.

ESSENTIAL FUNCTIONS:

Multi-Site Clinic Operations

  • Oversees daily operations, staffing, and clinic flow across assigned Radiation Oncology locations, ensuring safe environments and high-quality patient care.
  • Maintains consistent on-site presence across locations, adjusting time allocation based on operational priorities and site needs.
  • Plans, directs, organizes, and coordinates clinical and administrative activities across all assigned sites.
  • Serves as a primary point of contact for vendors, contractors, and building maintenance partners supporting facility operations.
  • Partners with onsite and rotating physicians to support clinic coverage, patient scheduling, and resolution of workflow barriers.

Compliance and Oversight

  • Ensures adherence to regulatory standards and compliance requirements in collaboration with leadership.
  • Monitors compliance with clinical protocols, including simulation workflows, treatment delivery, and equipment safety checks across locations.
  • Supports safety initiatives including emergency preparedness, incident response, and facility assessments.
  • Assists with audit readiness, accreditation activities, and quality reviews.
  • Investigates and resolves patient and staff events, ensuring timely follow-up and documentation.

Leadership and Communication

  • Provides regular operational updates to leadership, including performance trends, challenges, and resource needs.
  • Conducts routine on-site rounding to assess operations, address staff and patient concerns, and ensure workflow consistency.
  • Leads site-specific and cross-site staff meetings to address updates, training needs, and team concerns.
  • Ensures consistent communication and alignment across all assigned locations.
  • Reinforces performance expectations and accountability across teams.

Process Improvement

  • Identifies and implements workflow improvements across sites to enhance efficiency, patient experience, and operational effectiveness.
  • Leads and participates in process improvement initiatives, technology implementations, and service enhancements.
  • Supports strategic planning efforts related to growth, development, and operational alignment.
  • Monitors and analyzes reports and audit results to ensure key performance indicators are met, including patient satisfaction, cost containment, and staff engagement.

Staff Management

  • Oversees staffing across assigned locations, including scheduling, PTO coverage, and cross-site resource allocation.
  • Manages timekeeping, payroll, and overtime approval for all assigned staff.
  • Conducts performance evaluations, coaching, and corrective action processes in partnership with leadership and HR.
  • Leads recruitment efforts, including candidate review, interviewing, and hiring decisions.
  • Oversees onboarding and training to ensure staff are equipped with necessary resources and knowledge.
  • Maintains competency to support clinic operations during high-demand periods.
  • Provides coverage for Patient Services Coordinator responsibilities when needed.

Facility Oversight

  • Manages vendor relationships, including equipment maintenance, repairs, and supply ordering.
  • Coordinates facility operations, including cleaning services, IT support, and property management.
  • Oversees inventory management and purchasing across all assigned locations.

Additional Responsibilities

  • Participates in organizational meetings and represents clinic operations in system-wide initiatives.
  • Reviews daily treatment and simulation charges for accuracy and coordinates corrections as needed.
  • Provides occasional after-hours support for urgent operational needs.
  • Performs other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES:

  • Proficiency with Microsoft Office Suite and medical information systems.
  • Strong organizational skills with the ability to manage multiple priorities across locations.
  • Excellent communication skills with the ability to build relationships across clinical, administrative, and external teams.
  • High level of professionalism and customer service, including the ability to manage challenging situations effectively.
  • Strong problem-solving and decision-making abilities.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to interpret and apply policies, procedures, and operational standards.
  • Commitment to fostering collaboration and consistency across multiple sites.

EDUCATION & EXPERIENCE:

  • Bachelor’s degree in a healthcare-related field or minimum of 5 years of experience in healthcare operations, including leadership or supervisory responsibilities required.
  • Minimum of 3 years of experience supporting or coordinating operations within an outpatient clinical practice required.  Experience in radiation oncology is strongly preferred.
  • Experience with clinic policies and procedures, including development, implementation, or compliance, required.
  • Strong time management, organizational, and leadership skills required.
  • Radiation Therapy license preferred.
